About the role:

Our Explosive Ordnance Services team enables the Australian Defence Force through storage, distribution, maintenance and disposal of these systems, all across Australia. As a turnkey solution, we offer the opportunity to gain a holistic understanding of our business operations, creating huge opportunities for growth.

The purpose of this role is to provide support to the Operations Manager in order to maximise a high level of customer service and ensure accountability and compliance is maintained for the business whilst sustaining and continually improving the efficiency of service delivery that is critical to success.
There are two key responsibilities of this role:
1. Maximise stocktaking capabilities. Responsible for the supervision and management of the transversal stocktaking team staff. They will develop stocktake and spotcheck programs for Contract Authority approval and manage the execution with assistance from regional stocktaking teams.
2. Compliance with Enhanced End-Use Monitoring (EEUM) program. Ensure compliance with EEUM inventory accountability, distribution, transportation and storage. Support ADF EEUM Manager and DoD US EEUM teams to complete annual inspections, site certifications and stocktaking of EEUM designated items.

They will work closely with team members, ADF representatives, stakeholders and sponsors and pave the way for the future for support and high added value services.

Your Role

  • Prioritise operational workload along with establishing and maintaining systems/schedules to monitor work progress to ensure business outcomes are achieved as contracted and all timeframes are met.
  • Oversee the management and coordination of the day-to-day operations including management of personnel and the ongoing evaluation of their performance.
  • Provide instructions and guidance to depots and managers on stocktaking and EEUM requirements.
  • Manage stocktaking activities IAW Contract Controls in order to confirm the accuracy of records vs physical holdings and the effectiveness of warehousing management.
  • Maintain familiarity of EEUM storage locations and key points of contact across the network, ensuring capability fit for purpose. Develop proposals as required for zone upgrades or new site certifications.
  • Engage with EEUM specific Inventory Managers to identify if there are additional security controls required for new items coming into the network and, where necessary, refer to the functional manager for action.
  • Manage the execution of the various EO and EEUM stocktake assurance and related security validation compliance audits.
  • Develop and deliver reports applicable to stocktaking and EEUM program matters.
  • Manage investigations into discrepancies arising from stocktakes involving EO or EEUM items.
  • Act as Helpdesk to Depot and ADF stakeholders on stocktaking and EEUM compliance matters.
  • Manage the training and development of stocktaking operators (nationally) in COMSARM and business processes involving stocktaking.
  • Manage and report Transaction Folder checks performed by depots with assistance from Regional Stocktaking teams IAW Contract Controls and Performance Measure “Records Accuracy and Procedural Compliance”.
  • Perform data processing including exporting to Excel to create worksheets, Pivot Tables and graphs for analysing data.
  • Work with internal and external team members to identify potential data anomalies and at-risk processes.

To be successful in your role, you will have demonstrated and/or acquired the following knowledge and experience:

  • Diploma of Business (or higher) in Logistic Management or equivalent or ability to obtain Certificate IV in Training and Assessment or ability to obtain.
  • Working knowledge in security requirements and controls within a Defence environment.
  • Working knowledge and experience in stocktaking and warehousing processes.
  • Demonstrated experience in supervision/management of a small team.
  • Strong analytical and problem-solving skills with the ability to identify critical paths, analyse complex data, and make informed decisions.
  • Strong stakeholder management skills with the ability to influence others.
  • Ability to function effectively, make sound educated decisions with initiative and the self-motivation to work independently with minimal supervision.
  • Demonstrated ability to author documents, business reports, activity plans and process instructions.
  • Previous experience supervising and coordinating activities with milestone deliverables.
  • Ability to communicate clearly and concisely, verbally and in writing, and to listen effectively.
  • Excellent attention to detail and a commitment to accuracy.
