Job Description

We are looking for an Office Manager who is proactive, highly organized, and truly cares about the details that keep an office running smoothly. This is not a behind-the-scenes role – it's a central position with a direct impact on the day-to-day operations of the entire team. The role involves managing office operations, providing executive support and logistics, planning culture and events, and handling administrative routines. The ideal candidate will have at least 3 years of experience in office management or executive assistance, be highly organized, detail-oriented, and possess strong communication and analytical skills.
Must have:
  • Manage day-to-day office operations, ensuring a functional, welcoming, and well-structured environment.
  • Seek out, shortlist, and manage contractors/vendors for administrative and facilities needs.
  • Ensure facilities comply with regional health and safety requirements.
  • Oversee maintenance, office supplies, and other facilities-related needs.
  • Create simple and efficient processes to streamline the team’s routine and anticipate potential needs.
  • Organize executive schedules and travel arrangements, including accommodation, transportation and meals.
  • Plan and execute the company’s annual event.
  • Support the organization of client events, ensuring a flawless experience from start to finish.
  • Coordinate logistics, invitations, venues, catering, and materials for meetings, workshops, and special gatherings.
  • Manage the office’s processes for invoice payments and tracking in accordance to PTW’s guidelines.
  • Perform cost analysis and comparison to ensure maximized value for money of goods and services for new and renewed contracts.

Description

We are looking for an Office Manager who is proactive, highly organized, and truly cares about the details that keep an office running smoothly. This is not a behind-the-scenes role – it's a central position with a direct impact on the day-to-day operations of the entire team.

📍 Job Type: Full-time

📄 Contract Type: CLT, Fixed Term Contract (Maternity Replacement)

Working Hours: Work days and hours are from MON-FRI 10:00 to 19:00,

Flexibility required: May occasionally need to stay later or come in on Saturdays to support contractor visits, office maintenance, or other operational needs.

Office Operations

  • Manage the day-to-day operations of the office, ensuring a functional, welcoming, and well-structured environment.
  • Seek out, shortlist, and manage contractors/vendors for administrative and facilities needs
  • Ensure facilities comply with regional health and safety requirements
  • Oversee maintenance, office supplies, and other facilities-related needs.
  • Create simple and efficient processes to streamline the team’s routine and anticipate potential needs.

Executive Support & Logistics

  • Organize executive schedules and travel arrangements, including accommodation, transportation and meals

Culture & Events

  • Plan and execute the company’s annual event.
  • Support the organization of client events, ensuring a flawless experience from start to finish.

Administrative Routines

  • Manage the office’s processes for invoice payments and tracking in accordance to PTW’s guidelines

  • Manage contracts with vendors.

Requirements

  • A minimum of 3 years' experience in a similar role. Previous experience in Office Management and/or Executive Assistance.
  • Well-versed in technical operations and facilities management best practices.
  • Experience organizing travel, corporate events, and facilities routines.
  • Organized and detail-oriented, with the ability to manage multiple tasks simultaneously with agility and autonomy.
  • Analytical/critical thinking skills to effectively and efficiently solve problems.
  • The ability to thrive in a fast-paced environment with competing and constantly changing demands.
  • Strong verbal and written communication skills, with a professional and courteous demeanor when interacting with suppliers, team members, and clients.
  • Proficiency in English mandatory.
