Assist in monitoring Quality, Health, Safety, and Environment Management Systems are established, implemented, and maintained in accordance with the requirements of standards i.e. ISO 9001:2015, GDPMD, ISO 45001:2018 standards ESG, etc.
Support to control and monitor the management of the Document Control Centre.
Support to conduct and assess local minimum standards and integrated Audits i.e. Station, Pickup, Warehouse, Freight Internal Quality Audit, Integrated Operational Audit, Warehouse, Recovery, and Station Minimum Standard Initiatives
Assist in reviewing and monitoring the Test of Control for all related SOPs issued.
Support to engage with local key stakeholders on the performance of the Quality, Health, Safety, and Environment management system
Assist in monitoring and ensuring local business continuity is in place (as far as practicable).
Assisting in managing any task and responsibility related to Quality, Health, Safety, and Environment programs i.e. ISO 9001, GDPMD, ISO 45001, and any direction as per local direction.
Support to initiate and facilitate the local audit program in areas related to Operations and Non-Operations.
Support to initiate and facilitate the Test of Control (Design and Implementation) for all related SOPs.
Support to initiate and facilitate any Quality, Health, Safety, and Environment improvement programs
Assisting in coordinating with other departments to ensure the effectiveness of the Quality, Health, Safety, and Environment Management System.
Support in liaising with external parties on any Quality, Health, Safety, and Environment related matters i.e. certification bodies, and government agencies.
Assisting to Identify, plan, and address training and development needs for the department
Any ad-hoc assignments that have been assigned by supervisors
Develop a long-term plan and set high-level targets for the department to align with the overall local direction
Assisting in overseeing annual plan and budget developments for the department
Supporting to develop and maintaining good relationships with related business partners both internally and externally
Assisting in monitoring SOP's development and amendment to ensure all SOPs align with local standards and guidelines and comply with regulatory requirement
Support innovation and continuous improvement including promoting best practice within Ninja Van
Support communication with Local Management on related topics to develop good relationships and understand business needs
Support the company programs and integrate Quality, Health, Safety, and Environment findings into recommendations
Assisting in responsible for coaching and training team members to acquire pertinent skills and improve performance
Requirements
At least five (5) years of working experience with the operational department especially in facility management, transportation, warehousing, inventory management, and distribution industry
Knowledgeable and well versed in international standards, Quality Management Systems - ISO 9001:2015, Good Distribution Practices for Medical Devices (GDPMD), Occupational Health and Safety Management System - ISO 45001:2018 standards.
Experience with implementing and maintaining standards, the minimum is quality management systems, such as ISO 9001
Possess strong problem-solving skills to address quality-related challenges effectively. This includes investigating root causes, implementing corrective and preventive actions, and working collaboratively with cross-functional teams to find solutions.
Excellent communication skills are necessary to effectively convey quality requirements, procedures, and expectations to various stakeholders within the logistics network
Familiarity with conducting audits, inspections, and quality checks is important. This includes developing audit plans, performing process audits, reviewing service quality, and documenting findings accurately.
Proficiency in maintaining accurate records, documenting quality processes, and generating reports is crucial. This includes creating quality manuals, standard operating procedures (SOPs), and performance dashboards to track and report on key quality metrics.
Understanding and adherence to industry-specific regulations, safety standards, and compliance requirements is essential.
Knowledge of quality control methodologies, process improvement techniques, and statistical analysis is beneficial
Understanding of logistics operations, including transportation, warehousing, inventory management, and distribution
Possess a recognized bachelor’s degree in any related field
Or possess a recognized Diploma in any related field with a minimum of 5 years' experience in facility management, transportation, warehousing, inventory management, and distribution industry
