The Installation Services Project Coordinator will manage customer projects from start to finish, ensuring smooth transitions, effective communication, and exceptional service. This role involves coordinating with clients and internal teams, communicating project timelines, collecting necessary information, scheduling installations, and maintaining client relationships. The coordinator will also troubleshoot issues, provide information, and ensure client deadlines are met, all while promoting the business brand.

Job Details

We’re looking for a detail-oriented Installation Services Project Coordinator to lead the successful coordination of customer projects from start to finish. This role blends deep knowledge of our products and programs with strong communication and relationship-building skills to ensure seamless collaboration across teams and exceptional service for our customers. 


What You Will Do:

  • Coordinate with clients and internal functions including Sales, Project Management, and Installation Team to ensure a smooth handoff transition from sales.
  • Effectively communicate installation process from start to finish to clients through a New Project Welcome Call.
  • Effectively communicate with customers on timelines for projects, deadlines for document submission and provide confirmation details (days and times) for onsite visits. Adjust accordingly based on customers wants and needs along with technician availability based on install capacity planning with the Installation Team.
  • Communicate with Clients and their Contractors via phone and email to collect all pertinent information (e.g. Blueprints, Photos, Construction Timeline, etc.) prior to Project Management reviewing Client file.
  • Work with Project Management to coordinate and schedule all Commercial and Residential installations.
  • Ensure Clients receive, sign, and return all appropriate documentation (e.g. CAD drawings, Pre-Installation Checklists, etc.) prior to their confirmed installation date.
  • Maintain excellent client relationships.
  • Maintain CRM/Salesforce and stay on top of outreach tasks and reminders.
  • Troubleshoot potential issues and resolves existing problems.
  • Provide timely and accurate information to incoming clients order status and product knowledge requests.
  • Ensure client deadlines are met.
  • Communicate the business brand and solicits customer opinions and suggestions.
  • Provide solutions, recommendations, and product information with a sense of urgency, positivity, and empathy.
  • Perform other admin/facilities duties as assigned.
