As an Office Administrator at Eneba, you'll ensure the smooth running of office operations. This involves managing relationships with service providers, maintaining office supplies, handling correspondence, and ensuring compliance with regulations. You'll foster a positive work environment, plan events, collaborate with other departments, manage employee travel arrangements, and organize company discount programs and gifts. You'll provide administrative support, manage phone calls, and keep office policies and documentation up-to-date. The ideal candidate will possess excellent communication, problem-solving skills, and attention to detail. Experience in office administration is required.

About the position: 
 
As an Office Administrator, you will be responsible for ensuring smooth running of all the office and its related activities. You will work closely with various cross-functional partners like IT, finance & accounting, people and others to maintain a well organized and welcoming workplace. Part of your scope will also revolve around ensuring compliance with office and other regulations as well as  welcoming our partners and newcomers. 

Responsibilities

    • Foster a positive and vibrant office environment by engaging with employees and visitors, promoting a welcoming atmosphere, and proactively addressing needs with enthusiasm and energy.
    • Ensure the office is properly maintained and supplied by managing the relationships with various facilities and service providers
    • Provide administrative support in managing phone calls and correspondence (e-mails, letters, packages, etc).
    • Update and ensure compliance with office and work health and safety regulations - keep policies and documentation up to date, organizing regular check ups.
    • Assist in planning and arranging events.
    • Actively collaborate with other departments with various initiatives, processes and documentation management.
    • Book and manage employees business trips (flights, accommodation, business cards etc).
    • Organize and update the company's discounts programs.
    • Arrange and coordinate gifts for business partners and other employees.

Requirements

    • Excellent communication and interpersonal abilities.
    • Experience in office administration or a related field. 
    • Attention to detail and problem-solving skills.
    • Good command of written and spoken English.
    • Familiarity with office equipment and programs, including printers, computers, etc.
    • Great time management skills and ability to set priorities for own work.
