Job Description

The Documentation & Administration Coordinator is responsible for preparing continuing education pre/post-assessments and evaluations for data processing. This includes entering data to ensure the timely issuance of participant certificates and accurate reporting of activity evaluation results. The role also involves providing customer service to program participants, clients, and PIM Program Managers, addressing inquiries and special requests. Responsibilities include setting up new activities, managing course setups, ensuring quality assurance, developing reports, and communicating data to internal teams. The role also involves customer service, handling learner issues, and assisting with data gathering from external partners.

General Description
The Documentation & Administration Coordinator is responsible for preparing continuing education pre/post-assessments and evaluations for data processing; enter data to ensure the timely issuance of participant certificates and accurate reporting of activity evaluation results. Provide customer service to program participants, clients, and PIM Program Managers in response to inquiries and special requests.
 
Job Responsibilities
Setup New activities on CMEU and the affiliated SelectSurvey requirements.

● Responsible for the issuance of participant certificates and reporting of continuing education activity results
o Set up courses for credit claiming (may include pre-survey, posttests, rationales, evaluations, and follow-up surveys)
o Set up courses for distribution on CMEU
o Quality assurance and testing for all CMEU course setups
o Develop and prepare compilation reports summarizing results
o Communicate participant/learner data to relevant internal teams towards the
shared goals of outcomes measurements, reaccreditation processes, and
audits (both internal and external)
● Provide support services to Program Managers, Partners, and individual learners no
o Answers questions about the certificate issuance process and/or providing reports on request
o Assists learners in login/password issues, credit uploads to accrediting bodies, and general course issues
o Escalates issues after all possible problem solving has occurred
o Return Customer Service using Ring Central calls when necessary on VoiceMails seeking assistance
● Assist in gather data from external partners for entry into JA-PARS and other accreditor systems (such as CPE Monitor and CE Broker)
● Customer Service
o Manage customer care issues alongside the Customer Service team for CME University
o Be able to troubleshoot Learner and Partner issues beyond the basic requests handled by the Customer Service Team.
