Role Overview
Our client is seeking a highly organized and proactive Coordinator/ General Virtual Assistant to support day-to-day operations, including data entry, email management, scheduling, and follow-ups. This role will involve coordinating with patients and prospects to maintain efficient communication and assist in various administrative tasks. While some tasks may be science-related, training will be provided for any foundational knowledge needed.
Key Responsibilities
- Data Entry & Management: Maintain accurate digital records and organize files.
- Email Management: Triage and respond to emails on behalf of the team, ensuring timely and professional communication.
- Calendar & Schedule Management: Coordinate and schedule meetings, appointments, and calls with patients, prospects, and other stakeholders.
- Follow-up: Track ongoing communications, send reminders, and ensure timely follow-up on pending tasks.
- Document Preparation: Assist in preparing reports, presentations, and documents as required.
- Task & Project Tracking: Help monitor progress on key tasks and projects, ensuring deadlines are met.
- Travel Arrangements (if applicable): Organize travel itineraries, accommodations, and related logistics as needed.
- Miscellaneous Administrative Support: Perform ad-hoc tasks as needed, such as organizing files, conducting basic research, or ordering supplies.
Requirements
- 3+ years of experience in an Executive Assistant, Coordinator, or similar administrative role, with demonstrated expertise in managing complex schedules and communications.
- Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities.
- Excellent written and verbal communication skills, capable of handling sensitive information with professionalism.
- Proficiency in email, calendar, and document management tools, such as Microsoft Office Suite, Google Workspace, or similar platforms.
- Ability to work independently, anticipate needs, and take proactive action when necessary.
- Ability to work primarily within Central Standard Time; Pacific Standard Time is also acceptable.
Preferred:
- Familiarity and interest with science or healthcare settings is a plus but not required.
