Job Description

Zinnia is seeking a Support Services Representative to process incoming mail for scanning and data entry into workflow systems for all Zinnia clients. This role involves sorting, scanning, and indexing mail, determining appropriate processing workflows, and completing data entry for administrative projects. Key responsibilities include handling and retrieving records, processing incoming money, entering data into cash management systems, reconciling money, running reports, pulling original documents, and processing incoming transfer paperwork while maintaining quality standards. The ideal candidate will be able to work independently, possess good interpersonal and teamwork skills, and adapt to changing work assignments and deadlines.
Must have:
  • High school diploma or equivalent
  • Proficiency in keyboarding (40 wpm)
  • Proficiency in 10-key skills
  • Willingness to work flexible hours
  • Good teamwork skills
  • Ability to adapt to change
  • Ability to work under deadlines
  • Ability to lift up to 35 lbs

Who You Are:
Support Services Representatives process incoming mail for scanning and data entry as a part of ingestion into workflow systems for all Zinnia clients. Responsibilities also include records tracking, handling and retrieval.

What You'll Do:

  • Sort, scan, and index incoming mail for all Zinnia clients;
  • Review contents of incoming mail and determine which process the work type will follow;
  • Complete data entry and handle additional related administrative projects and assignments;
  • Deal effectively with others and possess good interpersonal and teamwork skills and have the ability to work independently on assigned tasks; and
  • Preserve, store, track and provide the ability to retrieve corporate records.
  • Process incoming money by entering necessary data into the appropriate cash management system and money reconciliation.
  • Run reports, pull original documents, and process incoming transfer paperwork for all Zinnia clients while maintaining an adequate quality rating on the work performed.

What You'll Need:

  • High school diploma or equivalent required.
  • Relevant experience and basic knowledge of imaging, cash processing, and record management techniques are considered an asset;
  • Proficiency in keyboarding, such as, 40 wpm and 10-key skills;
  • Must be willing to work flexible hours and additional hours as workload demands;
  • Must be able to deal effectively with others and possess good teamwork skills;
  • Ability to adapt to change in work assignments and work under time driven deadlines
  • Ability to pick up boxes weighing up to 35 lbs.
