Job Description

The Executive Assistant will be responsible for maintaining the EVP & COO's calendar, scheduling meetings, preparing corporate documents, and managing travel arrangements. They will also need to maintain an organized filing system, organize team communications, and uphold a strict level of confidentiality. This role requires strong organizational, project management, and problem-solving skills. The ideal candidate will demonstrate exceptional interpersonal, written, and verbal communication skills, along with strong time-management abilities and proficiency with office productivity tools.
Must have:
  • 7+ years of Executive Assistant experience.

OUR TEAM AND SUCCESS 

Quince is a retail and technology company co-founded by a team that has extensive experience in retail, technology and building early stage companies. You’ll work with a team of world-class talent from Stanford GSB, Google, D.E. Shaw, Stitch Fix, Urban Outfitters, Wayfair, McKinsey, Nike etc.

RESPONSIBILITIES:

  • Maintain the EVP & COO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule meetings and appointments and manage travel itineraries.  
  •  Maintain an organized filing system of paper and electronic documents.
  • Organize team communications and plan events, both internal and off-site.
  • Uphold a strict level of confidentiality.
  •  Develop and sustain a level of professionalism among staff and clients.

REQUIREMENTS:

  • Minimum of 7+  years of experience as an Executive Assistant reporting directly to senior management.
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
  • Proficiency in collaboration and delegation of duties Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills. Friendly and professional demeanor. 
  • Excellent written and verbal communication skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
