We are seeking a proactive, detail-oriented, and highly organized Executive Assistant to provide high-level administrative support, oversee our London office operations, plan and execute events, and assist with investor relations activities. This role is pivotal in ensuring seamless administrative support to senior executives, smooth office operations, and effective coordination of events and investor relations activities.

 

Your responsibilities:

Executive Support

  • Manage executives’ schedules, including organizing meetings, appointments, and travel arrangements.
  • Prepare, review, and edit reports, presentations, and correspondence for senior management.
  • Act as the primary point of contact for internal and external stakeholders, maintaining professionalism and confidentiality.
  • Handle executive expense reporting and related administrative tasks.

Investor Relations Support

  • Assist in preparing investor communications, including reports, presentations, and press releases.
  • Support the coordination of investor meetings, roadshows, and earnings calls.
  • Maintain and update databases related to investor contacts and communications.
  • Collaborate with finance and legal teams to ensure compliance with disclosure requirements.

Office Management

  • Oversee all aspects of office operations, including selection of new office space, purchasing equipment and furniture, and vendor management.
  • Act as the first point of contact for employees and visitors, creating a professional and welcoming environment.
  • Monitor office expenses and work with the finance team to ensure adherence to budgets. 
  • Provide administrative support to HR for onboarding new employees.

Event Planning

  • Plan and execute corporate events such as investor meetings, conferences, team-building activities, and internal celebrations.
  • Coordinate all aspects of events, including venue selection, catering, invitations, and on-site logistics.
  • Track event budgets and deliver post-event analyses to measure success and gather feedback.
  • Ensure events align with the company’s branding and strategic goals.

 

What you bring to the team:

  • 5+ years of experience in a similar role, providing executive-level support and office management.
  • Experience in event planning and/or investor relations support is highly desirable.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
  • Exceptional communication and interpersonal skills, with the ability to interact confidently with executives, stakeholders, and team members.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
  • Familiarity with CRM systems and marketing tools is a plus.
  • High level of professionalism, discretion, and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Flexible, adaptable, and able to thrive in a fast-paced environment.
  • Proactive mindset with the ability to anticipate needs and take initiative.
