Job Description

The Executive Assistant/Paralegal will support the General Counsel and executive leadership team by managing legal documentation, conducting research, and handling high-level executive administrative responsibilities. Key responsibilities include managing calendars, coordinating travel, preparing reports, and serving as the point of contact for stakeholders. This role also involves legal duties such as conducting legal research, organizing legal files, and assisting in preparing materials for board meetings, and ensuring regulatory compliance. The ideal candidate will be organized, detail-oriented, and able to maintain strict confidentiality.
Must have:
  • Manage complex calendars and schedule meetings for the board and executive.
  • Coordinate domestic and international travel, including itineraries.
  • Prepare reports, presentations, and correspondence on behalf of executives.
  • Conduct legal research and summarize findings for internal stakeholders.
  • Organize and maintain legal files and case documentation.
Good to have:
  • Experience with contract lifecycle management (CLM) tools.
  • Paralegal Certificate strongly preferred.

Overview:

We are seeking a highly organized and detail-oriented Executive Assistant/Paralegal to support our General Counsel and executive leadership team (“ELT”). This unique dual role requires a proactive individual who can manage legal documentation and research while also handling high-level executive administrative responsibilities. The ideal candidate has a strong background in both legal support and executive-level coordination.

Key Responsibilities:

Executive Assistant Duties:

  • Manage complex calendars and schedule meetings for Board and executive
  • Coordinate domestic and international travel, including itineraries and logistics
  • Prepare reports, presentations, and correspondence on behalf of executives
  • Serve as the point of contact for internal and external stakeholders
  • Track tasks and priorities to ensure timely completion of key initiatives
  • Handle confidential information with discretion and professionalism

Legal / Paralegal Duties:

  • Conduct legal research and summarize findings for internal stakeholders
  • Organize and maintain legal files and case documentation
  • Assist in preparing materials for board meetings and legal proceedings
  • Liaise with counsel and ensure deadlines are met
  • Support corporate governance and regulatory compliance processes

Qualifications:

  • Associate or Bachelor’s degree required
  • 5+ years of combined experience in executive administration and legal support
  • Exceptional organizational, multitasking, and communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong knowledge of legal terminology, documents, and procedures
  • Ability to work independently and maintain strict confidentiality

Preferred Experience:

  • Experience with contract lifecycle management (CLM) tools
  • Paralegal Certificate strongly preferred

Location:

  • This is a Hybrid position based in our Houston, TX office.
  • Some travel required for Board meetings and ELT meetings.

Salary Range

$82,560.00 - $123,840.00
