The Opportunity

We're seeking a highly motivated and dynamic Office Manager to join us on our exciting journey. As Office Manager, you will be an advocate for our mission and reflect this in the experience you help create for our employees.

As our Office Manager, you will report to the People Operations Director and work alongside a passionate People and Talent team. This role is key to running our London office, currently occupied by 80 people, ensuring smooth day-to-day operations and building a vibrant and positive workplace culture. It is all about creating an environment where our team can thrive.

The Day to Day

  • Be the first point of contact for all office-related inquiries and visitors.
  • Managing daily office operations, including meeting room bookings, administrative tasks, and logistical support.
  • Ensure health & safety regulations are followed, including keeping policies and documentation up to date, conducting risk assessments, and overseeing first aid and fire marshall training.
  • Bring our office to life with exciting meetings, events, and socials that connect our team with the wider people team.
  • Coordinate with suppliers, contractors, and building management, as well as manage our office supplies.
  • Build and manage our London and Berlin office budget while ensuring all expenses are recorded and on track.
  • Partner with the People & Office Coordinator to enhance our onboarding process by taking charge of office orientation for new Trailmixers, and continue to build a culture of inclusivity and belonging.
  • Build and maintain strong relationships with internal stakeholders, promote collaboration and communication across teams and ensure we meet operational needs.
  • Be a key player in creating an inspiring, inclusive office space that promotes creativity and innovation.
  • Partner with our Berlin Studio Manager to ensure our office experience across both studios is aligned.
  • Support managing our Berlin Studio, including potential tasks such as coordinating suppliers, overseeing office maintenance, and assisting with office space searches.
  • Champion and lead diversity and inclusion initiatives, making our office a place where everyone feels valued and respected.
  • Continuously evaluate and improve our culture-building initiatives and incentive programs to keep our team engaged and motivated.
  • Continuously look to improve the office experience for our Trailmixers so it is a dynamic and creative working environment for all.
  • Support the broader people team on company-wide initiatives such as away days and other projects.
  • Lead by example, demonstrating enthusiasm, positivity, and a commitment to fostering a supportive and rewarding work environment for all employees.
  • Monitor and promptly address all inquiries and requests submitted through our ticketing system concerning office-related matters.
  • Support the People and Office coordinator with travel bookings as and when required.

About You

  • A strong background working as an Office Manager, preferably in a similar-sized business.
  • Strong organisational skills and attention to detail, with the ability to juggle multiple tasks and deadlines
  • A deep understanding of Health and Safety regulations and application
  • Comfortable using all applications within Google Suite.
  • Experience managing office refits and capacity planning
  • Excellent communication and influencing skills, with the ability to identify and understand business needs.
  • A can-do attitude with a proven track record of creating a creative, collaborative and inspiring workplace environment with a knack for building connections and fostering teamwork.
  • A dynamic and proactive approach and problem-solving ownership.

Our London Studio Location

At Trailmix, we've embraced a hybrid work model, balancing in-person collaboration and remote flexibility. Our team gathers at our vibrant studio in Kings X three days a week—Mondays, Thursdays, and Fridays—while enjoying the convenience of remote work for the remaining days. As Office Manager, you may be called in on non-office days as needed.
