Job Description

The Sales Operations Coordinator plays a key role in optimizing the sales process and supporting the sales team with administrative and analytical tasks, including bridging the gap between marketing campaigns and sales efforts. Responsibilities include coordinating leads, maintaining CRM systems, preparing sales reports, entering sales orders, managing sales documentation, supporting marketing campaigns, managing logistics of promotional materials, assisting in planning trade shows, monitoring inventory, and providing post-sale support. They also ensure compliance with company policies and industry regulations. The ideal candidate will be organized, possess strong communication skills, and be proficient in CRM software.

A Sales Operations Coordinator at ONI plays a key role in optimizing the sales process, improving efficiency, and supporting the sales team with administrative and analytical tasks. in addition the successful candidate will play a vital role in bridging the gap between marketing campaigns, sales efforts, and logistics/operations execution.

Your Role at ONI:

    • Coordinate with the sales team to distribute and track leads.
    • Maintain CRM systems (e.g., Salesforce, HubSpot) to update lead status.
    • Prepare sales reports and track key performance metrics.
    • Enter sales orders into NetSuite
    • Bookkeeping of sales documentation, contracts, and agreements.
    • Support the execution of marketing campaigns by ensuring alignment with sales objectives.
    • Track campaign performance metrics and provide reports to both marketing and sales teams.
    • Organize and manage logistics of promotional materials, presentations, and sales collateral.
    • Assist in planning and coordinating trade shows, webinars, and product launches.
    • Monitor inventory levels of marketing materials and order supplies when necessary.
    • Collaborate with the logistics team to ensure timely and accurate processing of orders both external and internal.
    • Manage record keeping and logistics of instruments and consumables for demonstration needs.
    • Coordinate with shipping and warehouse teams to track deliveries and resolve any logistical issues.
    • Provide customers with shipping updates, estimated delivery times, and post-sale support.
    • Address and resolve any delivery-related customer concerns promptly.
    • Ensure compliance with company policies and industry regulations related to logistics and order fulfillment.

Essential skills and qualifications:

    • Strong organizational and time management skills.

    • Proficiency in CRM software preferred (e.g., Salesforce, HubSpot, NetSuite).
    • Strong analytical and problem-solving skills.

$70,000 - $85,000 a year
