The Project Manager is responsible for the daily operations of projects, ensuring on-time, within-budget, high-quality delivery. This role involves close collaboration with management, production teams, and clients. Key responsibilities include overseeing project milestones, tracking progress, mitigating risks, managing team workflows, ensuring resource availability, facilitating cross-functional collaboration, acting as the primary client contact, managing client feedback and revisions, maintaining quality control, and providing regular status reports. The role demands proactive risk management, efficient resource utilization, and the ability to maintain high client satisfaction through clear communication and timely delivery.

Description

The Project Manager is responsible for managing the daily operations of projects, ensuring they are delivered on time, within budget, and to the highest quality standards. This role works closely with the Management & Lead of Production, production teams, and clients, overseeing project milestones, tracking progress, and mitigating risks to ensure smooth project execution.

Key Responsibilities:

Project Coordination:

  • Oversee project schedules and milestones, ensuring timely delivery of assets.
  • Monitor project workflows and adjust timelines or resources as needed to ensure deadlines are met.
  • Ensure teams have the necessary tools, assets, and resources to carry out tasks effectively.
  • Manage the team’s adherence to reporting guidelines, ensuring all required deliverables are met and progress is consistently documented.
  • Maintain control over the team's workflow to ensure tasks are completed efficiently and according to project requirements.

Cross-Functional Collaboration:

  • Work closely with production, technical, and quality control teams to align project goals and deliverables.
  • Act as the point of contact for internal teams to ensure smooth collaboration and information flow.
  • Facilitate internal meetings to track project progress, highlight potential issues, and maintain alignment.

Risk Management:

  • Identify production risks early and proactively create mitigation plans for management and/or lead approval to assure project health is maintained at all times.
  • Track project progress and adapt workflows to minimize disruptions to project timelines.
  • Resolve conflicts or issues between teams and escalate to the Lead of Production if needed.

Client Liaison:

  • Serve as the primary contact for clients during the project execution phase, ensuring consistent communication.
  • Report project updates to clients and handle client feedback efficiently, ensuring their expectations are met.
  • Collaborate with the Lead of Production to manage client feedback and revisions, ensuring all relevant personnel are kept informed and aligned throughout the process.
  • Ensure that any schedule or estimate adjustments approved by management and leads are communicated immediately to the client for approval, minimizing the risk of overages.

Quality Control:

  • Ensure deliverables meet agreed-upon quality standards by coordinating internal reviews and revisions.
  • Track and manage the implementation of client feedback to meet project expectations.
  • Maintain high-quality standards by working with the art and technical teams to ensure deliverables align with client needs.
  • Ensure leads thoroughly review and cross-check briefs to guarantee alignment with project goals.
  • Collaborate with the QA team to verify that all deliverables follow checklists and guidelines, ensuring consistent quality across the project.

Documentation and Reporting:

  • Maintain up-to-date documentation of project progress, key milestones, and client feedback.
  • Provide regular status reports to the Lead of Production, highlighting key issues, project risks, and achievements.
  • Use project tracking tools (e.g., Excel, Sheets, Discord, Trello,JIRA, ShotGrid, Asana etc.) to ensure transparency and visibility of project status.

Requirements

1.       Project Delivery & Operational Efficiency

Goal: Ensure projects are completed on time, within scope, and meet client specifications while optimizing resource utilization.

●      On-time Project Delivery – Projects are completed within the agreed-upon timelines with minimal delays.

●      Budget Adherence – Production costs remain within the approved budget, minimizing cost overruns.

●      Risk Management – Identify and mitigate potential project risks proactively to avoid delays or resource waste.

●      Efficiency – Maximize the use of resources and tools to ensure streamlined workflows and prevent bottlenecks.

2.       Client Satisfaction & Quality Assurance

Goal: Deliver high-quality results that meet or exceed client expectations, fostering strong relationships for repeat business.

●      Client Satisfaction – High client satisfaction ratings based on communication, quality, and timely delivery.

●      First-Pass Approval Rate – A high percentage of deliverables are approved with minimal revisions or rework.

●      Quality Control – Deliverables meet or exceed artistic and technical standards, with a focus on minimizing errors and rework.

●      Feedback Integration – Effectively incorporate client feedback into project workflows, ensuring alignment with client needs.

3.       Team Collaboration & Communication

Goal: Foster a collaborative environment, ensuring smooth communication across internal teams and clients.

●      Cross-Department Collaboration – Seamless collaboration between production, art, technical, and quality teams to align on project goals and deliverables.

●      Resource Coordination – Efficient management of team resources to avoid overwork and underutilization while maintaining a high level of team morale.

●      Clear Communication – Maintain consistent and transparent communication with internal teams and clients to ensure alignment throughout the project.

4.       Process Improvement & Scalability

Goal: Continuously improve production workflows, utilizing new tools and best practices to increase efficiency and scalability.

●      Process Optimization – Regularly identify and implement process improvements to accelerate project completion without sacrificing quality.

●      Scalability – Implement systems and practices that enable the team to scale up projects without reducing efficiency or increasing costs.

●      Innovation – Leverage tools (e.g., JIRA, ShotGrid, Asana) to facilitate repetitive tasks, improving tracking, reporting, and workflow management.
