Team Leadership & Management:
Lead and mentor the regional administration team based in India, providing guidance, support, and development opportunities.
Set clear performance expectations, monitor KPIs, and goals to ensure the team consistently meets or exceeds targets.
Administration Process Management:
Oversee and optimize the execution of sales and service administration tasks, including:
NSW Liquor and Gaming Regulatory Applications:
Manage the completion of NSW Liquor and Gaming Regulatory applications for sales orders using a third-party website.
Ensure timely completion of applications before each Sales Order’s installation date.
Communicate with internal Aristocrat teams regarding the completion of applications and update sales order statuses in Microsoft Dynamics and Salesforce.
Address exceptions related to NSW Liquor and Gaming Regulatory applications to meet customer needs.
ACT and VIC Regulator Machine Applications:
Oversee the completion of ACT and VIC Regulator Machine Applications for sales orders within these jurisdictions.
Distribute completed applications to all relevant parties to ensure all orders are processed efficiently.
Post-Sales Process Management:
Collaborate with the Customer Liaison team to ensure that all post-sales processes are completed within strict timeframes.
Collaboration with Sales Support:
Liaise with the Australian Sales Support Manager to assist with business and customer needs.
Manage the delegation of quoting proposals as part of the overflow team.
Returned Materials (RMA) Management:
Create and track RMA orders in Microsoft Dynamics.
Invoice Processing:
Process Buying Program rebate invoices and general sales-related invoices (e.g., service providers, travel).
Coordinate with Vendor Management and Accounts Payable teams for new vendor setups.
Administrative Support & Service Sales:
Ensure alignment with global and regional policies while adapting to local market requirements.
Oversee service sales and billing tasks, including contract updates, account queries, onboarding, invoicing, and billing adjustments.
Ensure timely and accurate completion of administrative tasks such as dashboard management, asset tracking, uniform orders, tech licenses, and regulatory updates.
Systems & Tools Management:
Ensure efficient use of Salesforce, Microsoft 365, and other sales and service administration tools.
Collaborate with IT, sales, and service teams to troubleshoot issues, implement system updates, and train team members on new functionalities.
Compliance & Regulatory Knowledge:
Ensure all sales administration activities comply with local regulatory requirements across the Australian region, including tax, invoicing, and contract regulations.
Work closely with Sales, Legal, and Compliance teams to address region-specific challenges.
Cross-Functional Collaboration:
Work with sales, finance, supply chain, and customer service teams to streamline processes and resolve sales order issues.
Support the Australian sales team by providing accurate sales reports, ensuring timely order processing, and managing post-sale documentation.
Reporting & Analytics:
Provide regular reports on sales and service administration performance, process efficiency, and order cycle times.
Use data to identify areas for improvement and implement process enhancements to drive business growth.
Customer & Partner Support:
Ensure timely resolution of issues to maintain strong relationships with stakeholders.
Skills and Competencies:
Leadership: Proven ability to lead, coach, and develop high-performing teams.
Sales Operations Expertise: In-depth knowledge of sales order processes, CRM systems, and sales administration best practices.
Global Awareness: Ability to work across multiple jurisdictions with regulatory requirements for sales operations and contracts.
Problem-Solving: Strong analytical skills with the ability to troubleshoot and resolve complex issues.
Communication: Excellent communication skills to effectively collaborate with internal and external stakeholders across the region.
Detail-Oriented: Highly organized with strong attention to detail in managing documentation, reporting, and compliance matters.
Qualifications:
Bachelor’s Degree in Business Administration, Sales Operations, or a related field.
5+ years of experience in sales administration, with at least 2+ years in a leadership role.
Experience working with global businesses across multiple time zones, preferably within the APAC region.
Strong understanding of sales processes, CRM/ERP systems, and regional regulatory requirements.
Experience managing a multi-country sales administration function is a plus.
