1. Description of data processing

DIGIC PICTURES Filmgyártó, Szoftverfejlesztő és Kereskedelmi Korlátolt Felelősségű Társaság (registered seat: 7 Záhony street, Hz. building, Budapest, H-1031; hereinafter referred to as: "DIGIC PICTURES") and DIGIC SERVICES Korlátolt Felelősségű Társaság (registered seat: 7 Záhony street, Hz. building, Budapest, H-1031; hereinafter referred to as: "DIGIG SERVICES") (DIGIC PICTURES and DIGIC SERVICES hereinafter jointly referred to as: "Companies" or “DIGIC”) operate a database as joint controllers for the purpose of their own recruitment and selection activities, which records, inter alia, the personal data of all applicants who submit their application for a specific job advertised by the Companies or, without a specific job advertisement, for future positions (hereinafter referred to as: "Application System") via the "Join Us" menu item on  https://career.digicpictures.com (hereinafter referred to as: "Website").

This Information on Data Handling (hereinafter referred to as: "Information") describes the conditions in accordance with which the personal data of the Applicants (hereinafter referred to as: "Applicant" or "You") will be collected, stored and used in the Application System. Please read the following conditions carefully.

The data processing activities performed in the Application System are carried out in accordance with the provisions of the Regulation (EU) 2016/679 of the European  Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as: "GDPR").

2. Controllers

DIGIC PICTURES and DIGIC SERVICES jointly process the data recorded by You or recorded relating to You during the selection process in the Application System.

3. Data processor

In order to operate the Application System and to guarantee the adequate security of your personal data during data processing, the Companies have appointed Hireify Kft. (company registration number. 13-09-190859; registered seat: 2045, Törökbálint, Kossuth Lajos utca 40.) (hereinafter referred to as: "Hireify") as a data processor.

Hireify provides the following data management processes: server service (on Hungarian servers), operation and maintenance of a web interface.

4. Personal data

Applicants may enter the Application System by submitting their application for specific positions advertised on the Website under the "Join Us" menu item or for future job opportunities not yet advertised at the time of application (hereinafter referred to as: "Application").

The Application System contains the personal data provided by You, as well as the data that the Companies assign to the Applicant during the selection process and the data that the Application System automatically generates for your account.

4.1. Data provided by You

The personal data provided by You and processed as a result may include the followings: CV and the data contained therein; cover letter (if submitted); ID number; name; email address; phone number; the position You applied for; date of birth; gender; expected salary and other needs; field, name and level of education; spoken languages and the levels of them;  area, position level and number of years of work experience; name, position level, location and competencies of ideal work area; test tasks which were made during selection and other personal data You provide in connection with your application.

We inform You that You are responsible for ensuring that all information provided by You or which applies to You in your job application is accurate.

4.2. Data assigned to your Application by Companies 

Additional data can be ordered to the personal data You have uploaded to the Application System: additional data communicated or handed over during the selection process; the results and evaluations of the selection process.

5. Purpose of Data Processing

The purpose of the processing of personal data recorded in the Application System is to participate in the selection procedure for a specific position or a position to be opened at the Companies in the future, and to contact and communicate for this purpose.

6. Legal basis for data processing

The legal basis for data processing is Your consent given in accordance with Article 6 (1) point (a) of the GDPR. By providing your personal data, You expressively and voluntarily consent to the Companies' ability to get in contact with You in order to the participation of the selection process for a specific job offer or for a future job opportunity appropriate to your qualifications and experience, and to process your data during the selection process as set out in this Information.

7. Duration of data processing

7.1. Applying for a specific job advertisement

If You submit your application for a specific job offer, we will process your data until the end of the given selection process. However, when You apply, You have the opportunity to give your explicit consent to the processing of your data for 1 year from the application, so that if a position corresponding to your education or expertise is opened, we can contact You. In addition, the Application System will send You an automatic email after 1 year informing You that your data will be deleted. You have the opportunity then to give your explicit consent to the processing of your data for another 1 year in order to seek new job opportunities in accordance with your education and expertise.

7.2. Applying for a general, non-specific job advertisement

If You do not apply for a specific job opportunity, your data will be processed for 1 year from the date of application. After 1 year, the Application System will send You an automatic email informing You that your data will be deleted. You have the opportunity then to give your explicit consent to the processing of your data for another 1 year in order to seek new job opportunities in accordance with your education and expertise.

7.3. Deletion of your data

Of course, You have the opportunity to request the deletion of your data at any time during the data processing period. In the event of your employment, your personal data relating to your application and selection will continue to be processed by the Companies in accordance with the privacy policy applicable to your employer.

8. Data security, persons entitled to get to know the data

The Companies respect the regulations on the security of personal data, so the Companies and Hireify, as data processors, take all technical and organizational measures and establish the procedural rules necessary to enforce the data security rules of the GDPR and relevant national legislation. 

In the Application System, access to the data of a given candidate is limited, they can only be accessed by the competent HR colleagues as well as the colleagues participating in the selection, to the extent necessary for the selection (e.g. the professional managers involved in the selection cannot access to salary claims).

9. Rights concerning the data processing, enforcement options

If Companies process personal information about You, You have the following rights:

• Right of access

• Right of information

• Right of rectification

• Right to erasure

• Right to restriction of processing

• Right to data portability

• Right to withdraw the consent

• Right to appeal

9.1. Right of access and information

At your request Companies shall provide information regarding your personal data stored in the Application System, their handling, in particular the purpose, legal basis, duration of the data processing, the legal basis and the recipients of any possible data transfer, possible incidents concerning the data, the exercise of your rights, the right to lodge complaints with the National Authority for Data Protection and Freedom of Information (NAIH), the source of data. In the event of data transfer outside the European Union or the European Economic Area, You will obtain information on the appropriate safeguards ensured in respect of data transfer. You can request further information at any of the contact details set out in Clause 9.8.. The Companies will provide information on personal data processing in writing within 30 days of submitting the request.

9.2. Right to rectify

You can request the rectification of your personal data processed in the Application System at any time if such data is inaccurate, indicating the correct data. In addition, You may update the data provided by You at any time in the Application System (Section 4.1). You shall notify Companies forthwith of any change in the personal data processed by Companies, but no later than within 5 days of the change taking place. You can make the changes by notifying our Companies on the below e-mail are you can make the changes in your personal account. You are responsible for any damage sustained by Companies if this notification is not given or is delayed.

9.3. Right to erasure

You shall have the right to obtain the erasure of personal data concerning You without undue delay and Companies shall have the obligation to erase your personal data without undue delay in the cases defined in Article 17 of the GDPR by e-mail to the below e-mail address or you can erase it in your personal account under the “Account Settings”.

9.4. Right to restriction of processing

You shall have the right to obtain restriction of processing if

You contest the accuracy of the personal data;

The processing is unlawful;

Companies no longer need the personal data for the purposes of the processing, but You need them to establish, exercise or defend legal claims;

9.5. Right to data portability

You have the right to receive the data You provide to Companies, processed in the Application System, in a structured, widely used, machine-readable format, and You have the right to transfer this data to another controller or to request the direct transfer of the personal data between controllers.

9.6. Right to withdraw the consent

You have the right to withdraw consent to processing at any time since the processing is based on your consent, however, this shall not affect the legality of data processing prior to the withdrawal of consent and carried out on the basis of the consent. Consent may be withdrawn by sending a statement to the postal addresses or email addresses indicated in point 9.8.

9.7. Right of appeal

You may submit a complaint to the National Authority for Data Protection and Freedom of Information (address: H-1055 Budapest,  Falk Miksa utca 9-11.; postal address: H-1374 Budapest, Pf. 603.; phone: +36-1-391-1400; fax: +36-1-391-1410; email: ugyfelszolgalat@naih.hu; www.naih.hu), or You have the right of access to courts according to the rules of the GDPR in connection with the processing of your personal data stored in the Application System. Your detailed rights and remedies are set out in Section III and Section VIII of the GDPR.
