Messa Sync is seeking a Front Office Representative to serve as the initial point of contact for visitors and clients. This role requires a friendly and detail-oriented individual to manage front desk operations effectively and deliver exceptional customer service. Responsibilities include greeting guests, answering and directing calls, managing mail and deliveries, maintaining the reception area, scheduling appointments, and providing administrative support. The ideal candidate will have a high school diploma or equivalent, with an associate's degree being a plus, and proven experience in a front desk or administrative capacity. Strong communication, organizational, and multitasking skills, along with proficiency in Microsoft Office Suite, are essential. A professional appearance, demeanor, and the ability to handle confidential information are also required.

Responsibilities

  • Greet and welcome guests in a warm and professional manner

  • Answer and direct incoming calls promptly and courteously

  • Manage incoming and outgoing mail and deliveries

  • Maintain a clean and organized reception area

  • Schedule appointments and manage meeting room calendars

  • Assist with administrative support tasks as needed

  • Handle visitor logs and access badges

  • Provide accurate information to clients and staff inquiries

Qualifications

  • High school diploma or equivalent required; associate’s degree preferred

  • Proven experience in a front desk or administrative role

  • Excellent verbal and written communication skills
