Management Operations partners with nearly every division of ESPN and many across The Walt Disney Company to ensure ESPN’s Content business operates at the highest level of efficiency and productivity. Content leaders focus their efforts on the fan while this team focuses on the personnel and business management aspects of how content comes to life. Together, this team consistently maximizes resources for the greatest impact on our content and bottom line.
A Production Coordinator supports the day-to-day workforce planning and business operations of ESPN’s Content division. The key responsibilities of this role include scheduling resources, managing vendors and contracts, and ensuring compliance with legal and company policies. This role will also find and create efficiencies in processes and workflows along with interacting with all types of content and leaders across our organization.
Executes workforce planning and business operations for ESPN’s Content division.
Works with content leaders to plan, request, and allocate resources; schedule personnel and/or facilities; review time entry and expenses; and track paid time off, among other tasks.
Analyzes content scenarios and develops plans to support initiatives while adhering to resource and financial constraints, as well as departmental processes and protocols.
Maintains knowledge of the business processes, workforce guidelines, and resource planning required across assigned content areas.
Fully understands policies and processes that guide work (Ex.T&E policy, workforce classifications, time entry). Educates, trains, and advises others on policies and processes and promotes adherence. Participates in developing and modifying policy and process.
Partners with and serves as a liaison for various departments (Ex. Production, Operations, HR, Legal, and external entities). Attends meetings with stakeholders and acts as a neutral party in discussions.
Participates in developing, implementing, and enhancing technology tools and workflow processes.
Provides training to team members, new hires, client groups and other personnel as needed.
Ensures that appropriate timelines are met for all projects and tasks.
Deals with time-sensitive and confidential materials and decisions (Ex. budgets, fees, performance).
Participating in sourcing, hiring, managing, scheduling, and/or providing feedback on various roles.
Training and guiding others in the processes of engaging workers and vendors.
Processing hiring requisitions.
Requesting and/or drafting short-form contracts for various roles and vendors.
Entering, tracking, and managing contract information in the system of record.
Reviewing, approving, and rejecting timecards and expense reports in accordance with Disney's timekeeping, travel, and expense policies.
Creating, organizing, and distributing various data and reports.
Creating new vendors in the Disney vendor portal and coordinating with Disney Shared Services to troubleshoot vendor setups.
Remaining accessible during production peak times and being available to work non-traditional days/hours as needed.
Minimum of 2 years of business, personnel, production, or operations experience.
Strong organizational skills (Ex. budgeting time, prioritizing workload, accuracy, and attention to detail in all tasks).
Effective communication skills (Ex. clear and concise in all forms of communication, ability to manage high-volume email, phone traffic, and in-person interactions).
Demonstrated ability to take initiative and perform independently with some guidance from management and senior teammates (Ex. suggest ideas and solutions to problems that arise, ability to recognize when an issue is present and provide rectifying solutions).
Demonstrated ability to react quickly and positively to a wide variety of sensitive production and personnel situations that arise and are subject to continual change.
Experience in various aspects of resource management and business operations (Ex. processing contracts/invoices, creating/maintaining/distributing information, resource scheduling/staffing).
Advanced knowledge of Microsoft Office programs & platforms (Ex. Office 365, Outlook, Excel, Word, OneNote, PowerPoint, SharePoint, and Teams), Smartsheet or similar programs, Zoom or similar platforms.
Demonstrated passion and commitment to diversity and inclusion including inviting diverse perspectives, fostering an inclusive work environment, and supporting workforce diversity.
Knowledgeable about the sports content landscape.
Possesses a basic understanding of studio show production, remote events, digital content, and/or packaged shows.
Understands basic reporting and analytics processes, including identifying trends and developing metrics.
Solid analytical and technical critical-thinking skills.
Basic financial and budgetary management experience.
Working knowledge of the following systems and tools: Slack, Concur, Kronos, SAP, and business intelligence tools like MicroStrategy.
High School Diploma or equivalency.
Bachelor’s Degree or equivalent years of experience from Vocational School, or in Production, Journalism, Business or related field.
