The Associate Executive - Administration supports the efficient operation of invenioLSI by handling daily administrative tasks, managing communications, organizing records, and assisting with office policy implementation. Responsibilities include general administration, stationery management, event planning (birthdays, town halls, retreats), IMS/ISO audit support, vendor billing and payment processing, client welcoming, courier management, and collaboration with various departments (HR, IT, Marketing, Finance). The role requires strong organizational skills, attention to detail, and excellent communication.

Role - Associate Executive - Administration
Job Summary:
The Administration Executive supports the administrative function of the organization, ensuring efficient operations and providing essential assistance to various departments. This role involves handling routine office tasks, managing communications, organizing records, and assisting in the implementation of office policies.
Qualification & Education:
  • Graduation in any specialization.
  • 1 to 3 years of relevant experience in administrative support roles.
Responsibilities:
  • Day to day general administration, check to security and housekeeping work.
  • Arrange stationery, visiting card, laptop cards and other printing works.
  • Proper arrangement of office birthday Bash, town hall and Annual retreat and outdoor conferences and Coordination with HR.
  • Responsible for implementing all IMS/ISO Audit -checklists, logbooks, track sheets, reports etc.
  • Responsible for all type of vendor billing and the timely payment.
  • Arrange the Vendor Quotations and help for creating new Vendor.
  • Welcome and greet clients and office guests.
  • Work closely with Finance to process Vendor invoices.
  • Manage and arrange couriers.
  • Assist in planning and arranging events, including organizing catering and venue.
  • Coordination with HR, IT, Marketing, Traveldesk and finance team for hassle free operation.
  • Check the entire office premises for cleanliness and maintaining standards of hygiene.
Business Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
General Skills:
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges as needed.
  • Strong attention to detail and accuracy in record-keeping and documentation.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with diverse stakeholders.
  • Adaptability and willingness to learn new tools and processes.
  • Ability to work independently as well as part of a team in a fast-paced environment.
