The Executive Assistant (EA) provides comprehensive administrative support, partnering closely with the executive administrative team to efficiently manage the Executive’s schedule, priorities, and projects. This role requires exceptional organizational skills, attention to detail, and the ability to handle complex calendars, travel logistics, and high-level administrative tasks.
Responsibilities:
Act as the primary point of contact for managing the Executive’s calendar, including meetings, recurring check-ins, general scheduling requests, and daily time management (e.g., meeting reminders and tracking outstanding meetings)
Partner closely with other EAs to ensure alignment of Executive’s schedules with overall priorities
Coordinate all travel arrangements, including complex itineraries for both business and personal travel, with domestic and international travel as needed
Manage phones, phone sheets, and handle correspondence
Align the Executive’s schedule with short- and long-term business priorities, making adjustments as needed
Take notes, track and prioritize actionable items from meetings and follow up when needed and ensure completion
Assist with event planning, logistics, and provide coverage for other EAs as needed.
Prepare presentation decks and provide IT setup for meetings
Ensure the Executive has access to logistics and necessary materials for all events and travel
Develop and maintain strong relationships with internal and external partners
Basic Qualifications:
2+ years of administrative experience in a corporate or entertainment setting
Ability to navigate sensitive and high-pressure situations with discretion and professionalism
Exceptional organizational skills with the ability to prioritize effectively and manage multiple tasks simultaneously
Detail-oriented, with the ability to manage high-volume calendars and coordinate complex travel logistics
Deadline-oriented, with the ability to problem-solve and make decisions with sound judgement
Demonstrate resourcefulness and adaptability to an evolving, high-demand environment
Abilities to manage individual tasks while maintaining focus on larger strategic objectives.
Demonstrates strong interpersonal skills, including the ability to work effectively as part of a team
Excellent written and verbal communication skills
Proficient with Apple and Microsoft Office software (i.e., Keynote and Excel)
Available to work onsite 5 days per week with regular overtime as needed, and accessible 24/7 via telephone and e-mail to handle urgent requests
Valid CA driver’s license and operating vehicle
Valid US passport and availability to travel domestically and internationally
