Job Description

As a Legal Assistant at Springer Nature's Berlin office, you will provide administrative and operational support to the legal team. You will be responsible for managing the VP Regional General Counsel's calendar, coordinating travel and expense reports, assisting with project-related tasks such as agenda creation and minute-taking, preparing documents, managing legal invoicing, and providing general office and team support. You will also collaborate with legal assistants in London and New York and assist with year-end processes. The role requires strong organizational and communication skills and a keen eye for detail.

About the Role: 

As Legal Assistant at our Berlin office, you’ll support our legal team with administrative and operational duties. If you’re organised, precise, and thrive in a role where legal knowledge meets coordination finesse, this position offers an excellent opportunity to join a dynamic legal environment.

Role Responsibilities: 

  • Executive support: Calendar management for the VP Regional General Counsel (GC) Europe, Middle East & APAC
  • Travel coordination: Booking business trips and handling expense reports for the VP GC and Legal Team Berlin
  • Project administration: Support in project-related tasks including agenda creation, minute taking, and follow-up
  • Document preparation: Drafting and formatting PowerPoint presentations, Excel spreadsheets; conducting research and analyzing data
  • Invoicing coordination: Managing the legal invoicing workflow for the Berlin Legal Team in collaboration with Legal Operations (e.g. invoice verification, account assignment, and digital filing)
  • Office and team support:
    • Managing team calendars and meetings
    • Ordering office supplies
    • Supporting conference registrations
    • Organizing team events
    • Coordinating onboarding for new team members

  • Global collaboration: Working closely with legal assistants in London and New York, including providing holiday cover as needed
  • Team support: Providing selective administrative assistance for the Berlin GCO team
  • Year-end processes: Assisting with provision creation and annual financial statement preparation

Experience, Skills & Qualifications: 

  • Proven experience as a legal assistant, team assistant, or executive assistant, ideally in a legal, corporate, or international environment
  • Strong organisational and time-management skills with a high level of attention to detail
  • Excellent communication skills in English (German is a plus) and strong interpersonal skills for building relationships with stakeholders. 
  • Professionalism, friendly demeanour, and discretion in handling confidential matters. 
  • Strong organisational skills for multitasking, managing complex international travel itineraries, with attention to detail, emotional maturity, and empathy. 
  • Proficiency in MS Office (PowerPoint, Word, Excel), Adobe Acrobat, and social media platforms. 
  • Adaptability to fast-paced environments, ability to work under pressure, and a resourceful team player with a strong can-do attitude.
