Appier seeks a proactive and meticulous Part-Time Office Administrative Assistant (Monday, Tuesday, Thursday, 10 AM - 3 PM) to maintain smooth office operations. Responsibilities include managing office supplies, overseeing the office environment, supporting internal events, handling travel arrangements, vendor maintenance, managing administrative expenses and contracts, and processing purchase requisitions, purchase orders, and invoices related to office purchases or services. The role requires general administrative tasks, maintaining the office outlook, ordering supplies, arranging facilities, supporting internal events, handling mail/packages, and managing contracts and expenses.
Must have:
  • 1-3 years admin experience
  • Proficient in Google Workspace
  • Proficient in English and Mandarin
  • Proactive and meticulous
  • Excellent communication skills

About the role

We are seeking a proactive and meticulous Part-Time Office Administrative Assistant(Monday, Tuesday, Thursday - 10am-3pm) to join our team. This role is essential for maintaining the smooth operation of our office. The successful candidate will handle a variety of administrative tasks, ensuring a well-organized and efficient workplace. This includes managing office supplies, overseeing the office environment, supporting internal events, and handling travel arrangements. The role also involves vendor maintenance, managing administrative expenses and contracts, and processing purchase requisitions, purchase orders, and invoices related to office purchases or services.

 

Responsibilities

  •  Handle general administrative tasks
    • Maintaining office outlook (watering plants, furnitures, and decorations..)
    • Order and replenish office supplies (pantry, stationery and cleaning supply..)
    • Arranging office facilities (laptop and office access card reset, collection and distribution)
    • Internal event support (happy hour snack, year end gathering, holiday celebration..) 
    • Collecting mail/package for courier arrangement
    • Travel booking
    • Vendor maintenance
    • Other administrative-related matters  
  • Manage administrative expenses and contracts
    • Processing PR, PO and invoices for any office related purchase or services rendered 
    • Renewal or termination of leases and other service contracts

Working Hours

  • Work three days a week (Monday, Tuesday, Thursday) from 10 AM to 3 PM, and need to be in the office.  
  • In special circumstances, working hours and office days can be flexibly discussed.

 

About you

[Minimum qualifications]

  • Preferably 1–3 years of experience in administrative and general affairs.
  • Proficient in Google Workspace applications, including Google Sheets, Google Docs, and other related tools.  
  • Proficiency in both English and Mandarin is preferred.  
  • Proactive, meticulous, and skilled in interpersonal communication.
