Responsibilities include managing onboarding and offboarding processes (Jira task management, meetings, materials, exit interviews), coordinating training and performance reviews, ensuring employee satisfaction through surveys and analysis, managing out-of-office procedures, organizing team engagement events, tracking merchandise orders, and maintaining HR platforms (Jira, Thinkific, People Force, Confluence). The ideal candidate possesses 4+ years of relevant experience, strong organizational and communication skills, and experience with HR software. A passion for video games is a plus.

Join our dynamic team as an Operations & Engagement Coordinator at Devoted Studios, where you'll play a key role in shaping our employee experience and supporting a vibrant, growing, remote-first studio. You’ll manage everything from onboarding and offboarding processes to team engagement activities, ensuring smooth operations across HR platforms like Jira, Thinkific, and People Force. 👩‍💻 This is a remote, full-time contracted position. Please provide your resume in English.
🌍 We're open to candidates from Canada, Latin America, or in Europe.

Responsibilities

  • Oversee end-to-end onboarding and offboarding processes, including Jira task management.
  • Prepare and conduct onboarding meetings and materials, trial period closures and exit interviews.
  • Coordinate courses, workshops, coaching sessions and assist in facilitating the performance review process.
  • Ensure employee satisfaction and engagement by regularly conducting surveys and analysing results to drive improvements.
  • Manage and track Out of Office procedures, coordinating with Finance for related payments.
  • Manage studio activities for worldwide remote employees, including team engagement events like coffee meetings and book clubs.
  • Track and manage merchandise orders, coordinate with Finance to process payments, and ensure timely delivery to employees.
  • Update and maintain various company platforms (Jira, Thinkific, People Force, Confluence) for HR processes.

Requirements

  • 4+ years of experience in operations or HR coordination or in a fast-paced environment.
  • Proactive and solution-oriented with a focus on improving onboarding, training, and internal communication processes
  • Ability to manage confidential information with integrity and professionalism.
  • Attention to detail in managing reports, tracking employee progress, and monitoring attendance.
  • Experience in onboarding new hires.
  • Experience in engagement programs is considered an asset.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Ability to handle conflict resolutions and facilitate team engagement.
  • Experience with Operations/HR software such as Jira, People Force, Confluence and learning management systems (Thinkific).
  • A passion for video games is considered an asset.
