Please note: this is a 6 month fixed-term contract.
We are seeking a detail-oriented and proactive Executive Assistant to join our team and support VP-level executives and their Leadership Teams. The ideal candidate will be skilled in managing calendars, coordinating travel, and providing essential support for daily operations. This role requires strong organizational skills and the ability to support multiple Executives simultaneously.
Key Responsibilities within the Function Team:
• Collaborate closely with VP level Executives, prioritizing, managing, tracking, and providing regular updates on tasks.
• Efficiently manage calendar(s) with attention to priorities, ensuring strategic optimization of time.
• Manage domestic and international travel arrangements.
• Purchase recognition gifts in line with company policy and budget as agreed with the Executive(s).
• Create, update, and manage distribution lists for the Function Team.
• Collaborate with the Event Teams in planning and coordinating logistics for events, functions, lunches, dinners, and conferences.
• Perform the duties of a Purchasing Specialist (i.e., raise and receipt POs) of the Function team(s).
• Supporting the onboarding of new hires, ensuring they have the required access, and scheduling meet & greets.
• Actively contribute to projects within the assigned Team(s).
• Prepare and submit Concur expense reports as requested.
• Prepare agenda, take minutes, and track actions at Leadership Team meetings as needed.
Key Responsibilities within the EA Team:
• Actively contribute to projects within the EA team.
• Contribute to the onboarding of newly hired EAs.
• Support EA team engagement.
Qualifications:
• Proven experience as an Executive Assistant to VP-level Executives.
• Strong proactivity and organizational skills.
• Attention to detail and problem-solving abilities.
• Excellent communication and interpersonal skills.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Proficiency in Microsoft Office Suite and other relevant software.
