Job Description

The HR Specialist will manage employee personnel files, ensuring accuracy and validity throughout the employment lifecycle. Responsibilities include preparing and archiving hiring documents, maintaining employee data in HR systems, reviewing job descriptions and HR procedures, managing documentation for employee life cycle events (e.g., maternity leave), using a ticketing system to resolve cases, preparing attendance records for payroll, collecting medical leave certificates, providing audit support, administering databases for medical providers and meal vouchers, and supporting health and safety initiatives. The role also involves support for disciplinary investigations, labor inspections, and employee integration.

Job Description

Managing employee personnel files and ensure their validity. Administration for the whole employment period – personnel hiring employment continuity and terminations.
Ensuring all hiring documents are prepared, signed accurately, and archived efficiently.
Accurately maintaining employee data in internal HR Systems.
Reviewing and updating job descriptions and internal HR procedures along with HR Manager and under direct supervision of Legal department.
Preparing and managing documentation for various employee requests or life cycle events, including maternity/paternity leave.
Using the ticketing system to monitor and resolve incoming cases.
Preparing attendance records accurately for payroll processing.
Collecting medical leave certificates for payroll processing and reimbursement.
Providing internal and external audit support as required
Administering database for medical providers (Private health insurance), Meal vouchers providers and maintaining contact with them.
Supporting Health and Safety provider with preparing needed documentation.
Support disciplinary investigations, labor inspections, and employee integration

Qualifications

Proven experience as an HR Generalist or in a similar HR role, it would be a plus.
Strong knowledge of HR functions, policies, and best practices.
Excellent communication and interpersonal skills.
Ability to handle confidential information with integrity and professionalism.
Detail-oriented with strong organizational and time management skills.
Good knowledge of English & Microsoft Office (Word, Excel)
Ability to meet deadlines
Good analytical skills
Positive attitude and solution-oriented thinking
Proactive, flexible and adaptable
Team-oriented
