The Executive Assistant will provide comprehensive administrative support to the Senior Vice President, Music Business Affairs/Legal Counsel at Walt Disney Studios. Responsibilities encompass contract negotiation and documentation for domestic and international film music talent, managing studio-wide music rights, processing contracts and correspondence, contract review, tracking approvals, data entry, and maintaining organized legal files (digital and paper). The role also involves scheduling, expense report preparation, handling correspondence (including DocuSign), obtaining tax forms, and assisting with summaries of contracts and rights. Additional duties include photocopying, scanning, troubleshooting computer issues, and supporting special projects related to rights, payments, and intellectual property. The position requires strong attention to detail, excellent communication skills, and the ability to work effectively in a fast-paced environment, handling confidential information and interacting with high-level executives. A hybrid work schedule is offered.
Must have:
  • 2+ years administrative legal experience (music legal preferred)

Job Summary:

Walt Disney Studios is seeking an Executive Assistant to provide administrative support to Senior Vice President, Music Business Affairs/Legal Counsel in day-to-day activities with regards to the negotiation and documentation of domestic and international film music talent contracts and studio-wide administrative music rights including, but not limited to, processing and creation of contracts and correspondence, contract review, summarizing and tracking contractual rights and approvals, data base entry and organizing, scanning and filing of all paperwork and digital correspondence. Position may also support additional personnel on the team as needed.

Position will be full time position with a current hybrid schedule of no less than four days per week in-office and one day per week remote. A successful candidate will be equally effective in office environment or remote.

Responsibilities:

  • Preparation of documents including editing, redlining, filing and distribution of talent deals and assorted other agreements supporting the creation of motion pictures, streaming productions and other miscellaneous projects
  • Handle correspondence; oversee DocuSign processing of agreements for signature, obtain required tax forms and employment eligibility forms for talent
  • Schedule and maintain Senior VP’s calendar
  • Prepare expense reports
  • Maintain organized, up-to-date legal files, both digital and paper
  • Respond to emails
  • Photocopying, scanning, general office duties
  • Ability to trouble-shoot computer software problems and interface with the computer help desk
  • Assist with preparation of simple summaries of contracts and rights and use of music assets.
  • Assist with special projects (including tracking rights, payments and intellectual property uses) as needed

Basic Qualifications:

  • 2+ years administrative legal experience in the motion picture, TV industry, with emphasis on music legal preferred
  • PC knowledge – Microsoft Word/Outlook/Adobe (current versions), Excel a plus
  • Strong attention to detail and follow-through skills
  • Strong organizational and filing skills
  • Excellent written, verbal and interpersonal communication skills to assure successful interaction with all levels of employees and external contacts
  • Ability to effectively and professionally interface with high level executives, clients, business associates and employees
  • Ability to work effectively in a team environment
  • Ability to handle confidential and sensitive information
  • Ability to exercise good judgment and use discretion
  • Ability to work with limited supervision,
  • A self-starter with ability to anticipate issues and proactively problem solve
  • Proven experience in multi-tasking and working with multiple people and priorities
  • Ability to manage time wisely and prioritize effectively in a fast-paced environment
  • Enthusiastic attitude and sense of curiosity balanced with patience and strong work ethic

Preferred Qualifications:

  • SAP and NetDocs experience desired

Preferred Education:

  • Bachelor’s degree or equivalent work experience


The hiring range for this position in Burbank, CA is $58,700 to $78,600 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
