The IT Specialist - Portfolio Management will be responsible for supporting Project Management Office (PMO) functions; Resource Management, Project Management; Program management; Organizational Change Management; and Governance, working with program managers, project managers/Scrum masters and other stakeholders to apply standardize project management methodologies and implementing best practice processes to improve project portfolio performance. Key Duties And Responsibilities Include: In charge of collating information from raw data in sources/systems, validating and providing analysis to create portfolio-performance reporting (e.g. Critical success factors and KPI reporting, financial/budget updates and forecasting, monthly project health updates, project resource updates, resource utilization and etc.) to Senior Management for decision making. Prepare and finalise quality presentations that provides deep insights to Senior IT Leadership Team. Identify potential cost savings areas and analyse overspend and underspend budget areas at portfolio level. Prepare ad-hoc tailored management reports upon requests. Monitor, track and maintain demand requests and entire list of projects submitted through IT Intake process. Actively engage business users to provide up-to-date status information upon submission of demand requests through IT intake process. Facilitate business engagement with global project managers and resource managers on status update, progress of projects, issues / risks etc. Consolidate inputs and updates (weekly, monthly etc.) to ensure portfolio tracker is up to date and report on deficiencies in data currency to IT Project Delivery leadership. Supports the central governance and guidance to project managers and ensures consistent project delivery. Maintain standardized project templates, forms, playbook, project delivery end to end process workflows and other essential materials and artefacts. Capable of conducting project audits in terms of background, objective, scope, assumptions, risks, issues, milestones, capability rollouts and status information and recommend better ways to manage it. Continuously improves and introduce best practices, common tools and templates leveraged across projects. Provide training and guidance to the wider IT teams in the field of PMO. Provide mentoring and coaching to junior team members. Act as a point of contact for PMO queries and information. Monitor and track overall status and progress of all project requests through its lifecycle till project completion.
