The Operations Specialist will join the Assurance Resourcing Team at PwC Ireland, based in their Spencer Dock offices. Responsibilities include maintaining job records on staff planning tools, liaising with engagement teams to resolve scheduling conflicts, handling daily requests and queries from staff and managers, managing training bookings, processing leave requests, managing allocation tools, producing reports, liaising with team leaders, issuing forms, maintaining yearly staff requisitions, updating resourcing tools for portfolio changes, reviewing study leave timesheets, and managing time transfers. Proficiency in Microsoft Excel or Google Sheets is essential, with Alteryx being a benefit. The role requires strong communication, problem-solving, and attention to detail. The candidate will work independently and as part of a team, interacting with various levels of staff, from managers to partners.

Job Description & Summary

An exciting opportunity has just become available for an Operations Specialist to join our Assurance Resourcing Team which sits within the BES line of service. The role is based in our state of the art offices in Spencer Dock. The ideal candidate will be proficient in Microsoft Excel or Google Sheets and Alteryx would be a benefit. The candidate would also have a keen eye for detail and willingness to learn.

The successful candidate will be part of the Operations team, representing one of the Assurance sectors and liaising regularly with the manager, senior managers, directors and partners in the business as well as dealing with queries from audit staff.  Some examples of the responsibilities are listed below:-

  •  Maintaining job records on the staff planning tool  in line with Assurance Requisitions which are completed by engagement teams.

  • Discussing requests with teams and looking for solutions where more than one team wants the same person at the same time. 

  • Dealing with day to day requests and queries from staff and managers.

  • Acting as a contact for Training on staff training bookings.  

  • Considering staff leave requests and discussing approval with relevant parties.  (Annual Leave, Overtime Leave and Unpaid leave).  

  • Managing the Unassigned Process and Real Time Allocation Tool.  This includes sending out availability of staff on a daily basis and creating new sheets each month.

  • Producing reports from Talent Link and following up on exceptions. 

  • Liaising with Team Leaders on any discrepancies or unusual findings on various reports. 

  • Issuing forms to obtain information from staff.

  • Maintaining the yearly staff requisitions for a particular Sector.

  • Updating resourcing tool for moves in manager portfolios due to reallocations, joiners, leavers.

  • Reviewing  of /completion of study leave timesheets for students going on exam leave.

  • Time transfers on iPower (our timesheet system). 


 

 Experience/Skills:

  • Preferably 3 plus  years experience in Administration. 

  • A professional approach with an ability to work on own initiative.

  • Ability to work under pressure in a busy environment maintaining quality and standard of work.

  • Ability to work independently, taking responsibility for own work while working within a team environment.

  • Good communication skills to negotiate compromises and solutions with engagement teams. 

  • Good excel experience is essential - sorting and matching data.
