Position Overview:
Payroll Specialist to manage end-to-end payroll processing and statutory compliance for over 600 employees across India. The ideal candidate should be well-versed in Indian labour laws, highly detail-oriented, and experienced with HRone and ADP platforms.
What you’ll do as a (Payroll Specialist):
Monthly salary processing including earnings, deductions, LOPs, incentives, arrears, reimbursements, etc.
Review and validate input data from HRone (attendance, leaves, etc.).
Salary reconciliation with HR and Finance teams.
Generate payslips, salary registers, and variance reports.
Coordinate with the bank for timely salary disbursement.
Maintain payroll calendars and ensure strict adherence to deadlines.
Joining: New employee registration in EPFO/ESIC, UAN creation, KYC linking.
During Employment: Process salary changes, transfers, and structure revisions.
Exit: Last working day update on payroll, EPFO, and ESIC portals.
Process Full & Final settlement (including LOP, gratuity, recovery, etc.).
Ensure timely employee deactivation in ADP, HRone, and statutory portals.
Employee State Insurance (ESIC):
Employee registration and eligibility tracking.
Monthly contribution calculation and challan submission.
Exit updates on ESIC portal.
Support employees for ESI benefits (sickness, maternity, etc.).
Professional Tax (PT):
State-wise PT computation and deduction.
Timely payment and return filing.
Labour Welfare Fund (LWF):
Deduction as per applicable state rules.
Remittance and returns as per schedule.
Income Tax (TDS):
Monthly income tax computation and TDS deduction.
Challan payments and quarterly 24Q filings.
Investment proof collection and verification.
Form 16 generation and employee distribution.
Handle tax queries and coordinate for any notices.
Bonus, Gratuity & Other Labour Laws:
Annual bonus calculation and compliance.
Gratuity eligibility calculation and payout.
Adherence to all applicable labour laws (e.g., Minimum Wages Act, Payment of Wages Act).
Prepare payroll-related MIS and monthly reports for Finance and HR.
Handle internal, statutory, and external audits.
Maintain up-to-date statutory records, registers, and SOPs.
Ensure all statutory returns and challans are timely filed and archived.
Daily usage of HRone for employee data, leave, and attendance.
Monthly payroll execution using ADP.
Coordinate with ADP and HRone support for issue resolution and enhancement requests.
Drive process automation and ensure data accuracy.
Respond to employee queries on salary, tax, reimbursements, etc.
Guide employees on tax declarations, investment proofs, and Form 16s.
Exit support during Full & Final settlement.
Experience handling payroll for 600+ employees across India.
Exposure to statutory inspections and payroll audits.
What will you bring to the team:
Graduate/Postgraduate in Commerce, Accounting, or HR.
4–7 years of end-to-end Indian payroll experience.
Strong knowledge of EPF, ESIC, PT, LWF, IT Act, Bonus & Gratuity Acts.
Must be proficient in ADP and HRone.
Advanced Excel (VLOOKUP, XLOOKUP, Pivot, and other advance formulas etc.).
Accuracy, confidentiality, and attention to detail are a must.
Excellent communication and interpersonal skills.
