VGW's People & Culture team in Toronto seeks a Workplace Experience Specialist for a 6-month contract. Responsibilities include overseeing daily office operations (facilities, security, cleaning), managing vendor relationships for maintenance and repairs, coordinating contractor access, and planning office events (catering, equipment, entertainment, venue, transportation). The role also involves conducting new employee office tours, covering facilities, safety, and protocols. The ideal candidate has 3+ years of workplace experience or facilities management, strong project management and communication skills, and event planning experience.

Our People & Culture team in Toronto are currently looking for a Workplace Experience Specialist to join the team for 6 months. 

As a Workplace Experience Specialist, you'll be responsible for creating an efficient, welcoming, and productive environment through hands-on operational management and immediate response to workplace needs.

Key responsibilities will include:

  • Oversee day-to-day office operations including facilities maintenance, security, and cleaning services
  • Manage relationships and ongoing communication with external vendors and contractors to ensure timely maintenance, repairs, and servicing of office facilities and equipment
  • Oversee contractor access and work completion for building improvements, supply deliveries, and emergency services when required
  • Maintain strong vendor relationships to ensure responsive service and high-quality delivery
  • Partner with external vendors to deliver successful events, including coordination with catering services, equipment rental companies, entertainment providers, venue management, and transportation services
  • Deliver comprehensive office tours for new employees, providing essential information about facilities, safety procedures, and office protocols while facilitating introductions to key team members

What you will bring to the role:

  • 3+ years of workplace experience or facilities management
  • Strong project management and organizational skills
  • Excellent communication and interpersonal abilities
  • Problem-solving and analytical capabilities
  • Experience with event planning and execution
  • Proficiency in Microsoft Office, Google Suite and workplace management systems
