The Facilities Planning Specialist is responsible for space management and occupancy planning. They will work with departments to ensure space solutions meet needs, act as an internal project manager, and create process efficiencies. Responsibilities include space planning, analyzing building efficiency, maintaining accurate records using AutoCAD and Eptura Workplace, project management, and other duties. The role requires strong communication, planning, and project execution skills. This role is a six-month contract position.
Must have:
  • 5+ years of office planning experience
  • 4-year degree with design or business preferred
  • Tech savvy with ability to learn software programs
  • Strong customer service skills
  • Ability to work independently with minimal supervision
Good to have:
  • Industry Certificates such as FMP, CFM, PMP
  • Knowledge of Excel

Why Lytx:
Under the general direction of the Facilities Planning Manager, our Facilities Planning Specialist is responsible for space management and occupancy planning across our real estate portfolio. You will have the opportunity to work with departments and departmental leadership to ensure space solutions meet the departmental and forecast needs. You will also act as the internal project manager for workplace changes or projects and help create process efficiencies to ensure seamless operation and delivery of projects and plans. This position requires strong communication planning related to office space changes and will utilize CAD record drawings, occupancy reports, Workplace Management Systems, and departmental planning processes to articulate, report and execute on plans.
 
What you'll get to do: 
Space Planning
•    Meets with Lytx customers to provide workplace solutions through planning and creating stack, space, and furniture plans and allocating space for special needs, new functions or organizational changes. Assists with organizing and resolving space planning issues through evaluation of differing or competing space needs and develop solutions to satisfy each department’s needs.
•    Analyze the company’s office buildings to determine the most efficient use of space. Provide options for ways to improve existing space and if necessary, recommendations for new locations.
•    Provides space planning options using AutoCAD and Eptura Workplace, as well as other tools to maintain drawings and provide scenario planning.
•    Maintains accurate record drawings, including CAD floorplans, furniture layouts, employee seat locations, employee seat assignments, space categorization, room numbering, and room names.
•    Conduct periodic building audits to ensure that layouts, employee workspaces and furniture locations are correct, updating documents accordingly.
•    Maintain and ensure accuracy of Facility Planning data and reports such as Headcount and Hiring Plans, Space and Occupancy Reports (Capacity/Occupancy/Vacancy) and contribute to Forecast Models for site planning.
•    Subject matter expert for maintaining and administration of the Eptura IWMS tool. Ensure accuracy and live information is current and maintained at all times.
•    Responsible for ensuring that a workspace is properly assigned for each new hire
•    Works with management to create and document office processes and policies as required for office space planning, moves, and others.
•    Oversees seating reservation tool set up and management
•    Create and upkeep architectural and design standards
Project Management
•    Has knowledge of the construction project process and understands building codes, documents and other relevant industry documents.
•    Provides change management support
•    Able to forecast, plan and execute all tactical planning projects that may include construction, furniture reconfigurations, and workplace changes.
•    Liaise with stakeholder groups such as Corp IT, Hosting to build and execute project plans
•    Develop Project Plans, construction budget development and management through life of the project
•    Manages all MAC (Moves, Adds and Change) projects.
•    Prioritizes and schedules work to ensure site services are completed based on urgency with minimal interruption to operations.
•    Plans, schedules, budgets and allocates resources.
•    Fosters positive internal and external working relationships and collaborative communication (e.g. within Workplace, across business units and departments, design partner/consulting firms, etc) for the purpose of delivering efficient and effective facility planning support services and providing excellent customer service
•    Other duties as assigned.
Other Management
•    Manages all site signage, branding and installation
•    Provides data governance and reporting
•    Provides global conference room standardization and management
•    Invoicing and PO management
•    •Assist with providing monthly accruals to the FP&A team

What you'll need:
•    5+ years in office planning
•    4-year degree with design or business preferred
•    Industry Certificates such as FMP, CFM, PMP a plus
•    Tech savvy, with the ability to learn complex software programs. AutoCAD knowledge is a requirement
•    Top performer who is willing to dive into the details and looking to gain experience and grow with Lytx
•    Requires strong customer service skills
•    Ability to work independently with minimal supervision. Flexibility to handle changing priorities and projects.
•    Experience creating effective policies and procedures
•    Knowledge of Excel
•    Enjoys working in a fast-paced, energized, self-starter environment
•    Excellent organizational and time management skills
•   Limited travel will be required for site surveys.
 

This role is a six month contract position.
