As Office Manager in Eschborn (Frankfurt area), you'll ensure smooth day-to-day operations. Responsibilities include handling mail, managing vendors and suppliers, inventory, devices, budget, fleet, and EHS. You will also organize events and collaborate on projects. You will be part of a dynamic, digital team. Responsibilities include administrative and organizational tasks, serving as a go-to contact for local service providers, and acting as a liaison with internal departments such as Finance, HR, and Legal.
Must have:
  • Bachelor's degree or equivalent commercial experience.
  • Fluent in German (C1 level minimum).
  • Fluent in English (B2 level minimum).
Good to have:
  • Several years of experience as an office manager in an international organization.

About the role

 As Office Manager at our German location in Eschborn (Frankfurt area), you will play a key role in ensuring smooth day-to-day operations. Our site includes not only an office, but also a European training center and a laboratory. You will be responsible for a wide range of administrative and organizational tasks, serve as the go-to contact for local service providers, and act as an important liaison with internal departments such as Finance, HR, and Legal. You will also be part of a dynamic, digital team of three Office Managers across Europe.

What you will do

  • Mail: Handle incoming mail and coordinate with internal departments (e.g. payroll, HR, finance, legal) 
  • Vendor & Supplier Management: Select, support and control of our local service providers
  • Inventory Management: Keeping track of office supplies and equipment, ordering new supplies as needed
  • Device Management: Managing local resources, distribution and returns, documentation
  • Budget managing: preparing budgets, monitoring office expenses and ensuring cost-effective operations
  • Fleet Management: Execution of the car policy, ordering leased vehicles, point of contact for employees and leasing partners
  • EHS: Implementation of EHS measures and collaboration with our external partners
  • Events: Planning and organizing office and training events, meetings, and conferences
  • Project work: Collaboration on joint projects in European office management
  • Visitor management: welcoming visitors and suppliers, registration of visitors

 What you bring

  • Education: A bachelor´s degree in business administration or a related field or a German “Ausbildung” of 3 years in the commercial field with several years of professional experience or equivalent
  • Practical experience: Several years of professional experience as an office manager in an international organization or a comparable organizational role is an advantage
  • Expertise: Broad business knowledge of relevant office management topics required
  • Language: Fluent in German (C1 level minimum) and English (B2 level minimum)
  • Location: Must be located in the Frankfurt area, 5 days in the office per week is expected
