Job Description

This internship/part-time Office Admin Assistant position in Bucharest requires advanced English skills and proficiency in Microsoft Word, Excel, and Outlook. Responsibilities include assisting the Studio Director and internal departments with various office tasks, managing office supplies, preparing meeting rooms, handling administrative duties, assisting with SSM tasks, managing incoming/outgoing packages, acting as a point of contact for suppliers, and overseeing office maintenance. The role involves analyzing office needs, suggesting improvements, developing new procedures, and potentially training others. A flexible part-time schedule (3 days/week, minimum 4 hours) is offered, with a 3-month internship option at 2000 Ron or a 1-year part-time contract at the same rate.

Role requirements
  • Advanced English skills – speaking/ talking/ reading
  • Proficient using Microsoft Word, Excel and Outlook
  • Work schedule: Flexible part-time, 3 days/week, min 4h between 9:30 to 18:30
  • On-site location: Bucharest

About The Role
  • Assist the Studio Director and internal departments with office tasks
  • Be in touch with all our services providers
  • Take care that all office supplies are available on premises
  • Preparing meeting and training rooms
  • Assisting with a variety of administrative tasks
  • Performing ad-hoc administrative duties
  • Assist with SSM tasks
  • Able to analyze and organize all office needs
  • Able to suggest improvements for a better work environment
  • Develop and train in new procedures when needed.
  • Responsible for incoming and outgoing packages to and from different suppliers
  • Act as a point of contact for all the suppliers including property management and in charge of maintenance of office space, including the arrangements of quarterly/yearly visit for disinfestation of space, HVAC, sprinklers, fire detection sensors revision and PRAM reports.

  • 3-month internship - 2000 Ron or 1 year part-time (min 4h) - 2000 Ron
