The Administrative Assistant role involves providing administrative support through customer service and key administrative tasks. Responsibilities include planning and coordinating events, monitoring employee attendance in the ADP timekeeping system, entering and maintaining data in spreadsheets, and running operational reports. Additional duties include monitoring RF units, assisting with warehouse operations, ordering office supplies, and maintaining the cleanliness of the logistics department and conference rooms. The role requires effective communication, organizational skills, and proficiency in Microsoft Office and Google Suite. It is a part-time position.
Must have:
  • Minimum one year work experience in similar administrative responsibilities
  • Effective verbal, written, and interpersonal communication skills
  • Effective organizational, time management and follow up skills
  • Proficiency with software such as Microsoft Office and Google Suite

Administrative Assistant

Part Time

Work schedule: 9 AM- 3 PM (flexible)

Purpose

  • Provides administrative support through excellent customer service and performance of key administrative tasks. 

Essential Job Functions/Responsibilities

  • Assists with planning and coordination of employee engagement and departmental events, training sessions, and meetings including communication, scheduling, and catering 
  • Monitors employee attendance and tracking in ADP timekeeping system with management.
  • Enters and maintains accurate data in spreadsheets daily to track attendance and productivity
  • Maintains and runs operational reports from appropriate system(s) on a timely basis (eg, hourly, daily, monthly) to include but not limited to: 
  • Attendance Report for monthly Perfect Attendance Reward program
  • Performance Report by team member in comparison to position expectations/standards
  • Monitor mobile radio tracking documents/spreadsheets 
  • Monitors the daily in- and out- of RF units and communicate status with managers
  • Provides assistance in warehouse operations when determined by the supervisor and carries out administrative duties as needed, including answering phones and preparing documents
  • Seeks out additional tasks and assignments from Supervisor to maximum time and team efficiency 
  • Coordinates with others for ordering departmental office supplies
  • Other duties as assigned.

Other Non-Essential Functions/Responsibilities

  • Monitors and maintains cleanliness and supplies of logistics department and conference rooms.
  • Accept and act on feedback from leadership
  • Work collaboratively in a team environment to learn about and strive to achieve departmental sales goals and balanced scorecard objectives
  • Work professionally and in a positive and respectful manner with other TVH departments 
  • Exhibits understanding & commitment to promote and share TVH mission, vision, values, and culture
  • Performs other duties as many be assigned 

Education, Experience and Skills

Education

  • High School Diploma or GED

Experience & Skills:

  • Must possess a minimum of one year work experience performing substantially similar administrative responsibilities
  • Effective verbal, written and interpersonal communication skills with a proven ability to communicate effectively across all levels of the organization
  • Effective organizational, time management and follow up skills 
  • Able to effectively manage and prioritize multiple tasks 
  • Team oriented, possesses a positive attitude and collaborates effectively with others to achieve goals in a fast-paced, deadline driven environment 
  • Shows proficiency with software such as Microsoft (Excel, Word), Google (Docs/Sheets/Calendar
  • Demonstrates professionalism, discretion and confidentiality 

Language Skills

  • Ability to read and interpret documents such as instructions, policy and procedure manuals, etc.  Ability to write routine reports and correspondence.  Ability to speak effectively and  communicate well to others within the organization.

Reasoning/Retaining Ability

  • Ability to interpret a variety of instructions furnished in written and oral methods
  • Ability to prioritize multipole tasks by using effective time management and organizational skills
  • Ability to learn and demonstrate proficiency of internal software applications, processes and procedures specific to TVH business operations
