Description

In this role, you will service the office and make it work smoothly as well as support the leadership team with coordination and administrative tasks at our new and spacious office located in central Stockholm. You will work closely with HR, finance and our IT department to identify, evaluate and resolve problems connected to the everyday work at the office facilities. The position is a part-time at 75%.

Your responsibilities:

  • You will organize office, optimize procedures and office space
  • You will manage and negotiate local service contracts with external providers to ensure the business is receiving the best value for money and to ensure that agreed budget is met
  • You will resolve office-related malfunctions and respond to requests or issues with the landlord.
  • You will maintain trusting relationships with suppliers, customers, and colleagues in a reception desk/function.
  • You will actively participate in the work of the Safety Committee to ensure that the health and safety of the office is maintained.
  • You will organize office celebrations and social events.
  • You will partner with HR to maintain global people processes like on- and offboarding of staff.
  • You will share information on the above to staff on TownHalls, on the intranet etc.

Requirements

  • You have experience as office manager, executive assistant, event manager or a similar roll (minimum 3-4 years)
  • You have high integrity, being able to manage confidential information.
  • You have excellent organizational and time management skills and ability to work independently.
  • You have analytical abilities, attention to details and aptitude in problem-solving.
  • You have excellent written and verbal communication skills, both in English and Swedish
  • You have proficiency in MS Office
  • You have good phone, email and in-person communication skills.
  • You have knowledge of human resources management practices and procedures.
