About the Role

As an Admin & Care Manager at Xsolla, you will play a pivotal role in ensuring smooth office operations, effective travel management, and the seamless execution of company events. This position is essential to creating a productive and welcoming environment for employees, clients, and visitors while driving efficiency and cost-effectiveness across administrative functions.

RESPONSIBILITIES

    • Office Management & Administration:
    • Maintain a clean, organized, and welcoming office environment.
    • Oversee office supplies inventory and ensure timely reordering with cost optimization in mind.
    • Manage office equipment and coordinate routine maintenance to ensure uninterrupted functionality.
    • Enhance visitor experiences with excellent hospitality practices.

    • Travel Management
    • Plan and manage domestic and international travel arrangements, including flights, accommodations, transportation, and visa applications.
    • Ensure strict adherence to company travel policies and identify opportunities for cost optimization.
    • Provide proactive guidance to employees regarding travel itineraries, expense tracking, and addressing travel-related concerns.

    • Event Coordination
    • Plan and execute company events such as team meetings, employee engagement activities, and large-scale company events.
    • Oversee event logistics, including venue selection, catering, vendor coordination, and on-site support.
    • Develop and manage event budgets, ensuring cost-effective delivery and alignment with business objectives.

REQUIREMENTS

    • Proven experience in office management, travel coordination, and event planning.
    • Exceptional organisational and time management skills, with the ability to prioritise and multitask effectively.
    • Strong communication and interpersonal skills, both verbal and written.
    • Familiarity with travel booking and expense reporting systems (experience with Atlassian tools like Jira and Confluence is a plus).
    • Attention to detail and a proactive problem-solving mindset.
    • Ability to work autonomously and collaboratively in a team environment.
