Job Description

The Administrative Assistant will provide day-to-day support to Easygo's Workplace Experience team and wider company functions. Responsibilities include managing office supplies, vendor coordination, invoice processing, pantry services, event logistics, mail handling, and other administrative tasks. The role requires attention to detail, managing multiple responsibilities, flexibility, and adaptability. The successful candidate will contribute to a well-organized and efficient workplace environment, working closely with the Workplace Experience Manager and other team members. They will also assist with Jira ticket management, collaborate with the Cafe Manager and Office Assistant, and provide backup support for reception.
Must have:
  • 1+ year office support experience
  • Knowledge of office procedures
  • Strong communication skills
  • Basic computer literacy
  • Manage office supplies & vendors

Your role with us:
No two days will be the same in this role, but you will get to leave your mark by positively impacting Easygo’s office environment. The successful candidate will be flexible and adaptable, being able to pivot and assist the Workplace Experience team when necessary. Reporting to the Workplace Experience Manager, you will also be managing your list of key responsibilities where our company policies and best practices can be taught.

What you will do:

  • Provide day-to-day administrative support to the Workplace Experience team
  • Maintain office stationary and miscellaneous supplies
  • Assist with organising meeting/office catering
  • Assist with  invoice payments for Workplace Experience
  • Liaise with service providers and vendors as required
  • Oversee the office pantry management service
  • Manage and respond to Jira tickets as required
  • Collaborate with the Cafe Manager and Office Assistant on management and feedback loop with company cleaners
  • Assist in event preparation, set-up/pack down, and post-event cleaner comms
  • Assist in projects and initiatives as assigned by management
  • Assist with office merch management
  • Manage office incoming and outgoing postage
  • Provide back-up support for office reception/concierge when needed
  • Other tasks and responsibilities as required within the role and wider team and department

What you will bring:

  • At least 1 year of experience in an office or business support role
  • Knowledge of office or business procedures
  • Strong communication and interpersonal skills
  • Basic computer/laptop literacy 

Bonus points if you also have:

  • Experience working in a fast-paced corporate company environment
  • Administration in a business environment 
  • Experience with Jira workflow management and Google Suite apps/products
