The Legal Executive Assistant provides comprehensive administrative, organizational, and project support to the EVP, Global Legal and Public Policy, and team. Responsibilities include complex administrative duties, interacting with all management levels internationally, demanding discretion and judgment. This role requires managing a busy calendar, prioritizing meetings, coordinating travel (domestic and international), overseeing legal invoicing and budget, creating presentations, and managing events. Collaboration with various departments is essential for ensuring excellent communication and quality work. The ideal candidate will demonstrate strong organizational, time management, and communication skills, along with the ability to handle multiple tasks efficiently and maintain confidentiality.

Position Summary

This position provides organizational, administrative, and project support for the Scientific Games EVP, Global Legal and Public Policy and team. This person will perform complex administrative duties, which involve contact and exposure to all levels of management, in many cases in an international environment, necessitating the highest level of corporate image, diplomacy, confidentiality, discretion and judgment. Must be highly multitasked to meet compressed timelines. Must be self-motivated, able to handle detailed projects independently, able to take on special projects and be good at problem solving.

  • Manage an extremely active calendar of appointments and schedules, ensure that the executives stay on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively, keep them well informed of upcoming commitments and responsibilities and following up appropriately.
  • Providing telephone coverage, maintaining/ordering supplies, copying, and handling mail/correspondence, organizes, creates and maintains all files and documents and interacting with visitors.
  • Coordinate and manage international and domestic travel; arrange detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings and completing expense reports.
  • Daily oversight of all Legal related invoicing and budget.
  • Creates quality presentation materials.  Reviews and appropriately edits presentations.  Coordinates the development of materials and works effectively with appropriate individuals and conducts follow-up for various projects and ongoing tasks and responsibilities.
  • Adheres to demanding timelines, maintains communication with other departments/individuals, and conducts follow-up for various projects and ongoing tasks and responsibilities.
  • Coordinate onsite and offsite events for small and large groups (i.e., executive staff meetings, team off sites, annual team meetings)
  • Manages internal and external requests and works closely with all departments, as appropriate, to ensure excellent communication, follow-up, and the delivery of quality work to internal and external clients.
  • Assists in the achievement of overall corporate goals and objectives by working with management and other departments on special projects.
  • Performs other duties as necessary to meet corporate objectives.

Qualifications

  • At least 10 years of experience as a legal assistant
  • Ability to interact professionally and confidentially with all levels of management and staff
  • Strong organizational and time management skills
  • Ability to take direction without follow up
  • Strong teamwork and team synergy skills required
  • Ability to prioritize and manage multiple tasks/projects and support multiple high-level executive positions
  • Exhibit good judgment and decision-making skills
  • Ability to meet tight deadlines, shift gears quickly, and work well under pressure
  • Strong verbal and written communication skills
  • Ability to work independently without supervision, be self-directed and demonstrate initiative
  • Must possess a high level of confidentiality; business and work ethic, and discretion
  • Ability to work overtime, if needed

Skills and Knowledge

  • Expert knowledge of MS Office, i.e. Word, Excel, PowerPoint, and Outlook
  • Typing – Scribe meetings
  • Good written and verbal skills
  • Expert ability in event planning, budgeting, etc.

Qualifications

Education

Bachelors degree in related field.
