Job Description

The Senior Administrative Assistant will provide primary administrative support for 2 executives, one based in the NY HQ, and one remote, as well as backup support for other executive administrative assistants as needed. The role involves managing appointment schedules, planning and scheduling meetings, agendas, conferences, teleconferences, and travel. The candidate will also be responsible for keeping schedules on time with onsite support and welcoming guests. The position requires exceptional communication, project management, and organizational skills, and the ability to multi-task and prioritize to ensure all assignments are completed accurately and on time.
Must have:
  • 2+ years of experience as an executive assistant
  • Proficient in Microsoft Outlook, Word, Excel & PowerPoint
  • Exceptional communication and organizational skills
  • Detail-oriented
  • Efficient in business software and processes

Your role and responsibilities

  • Provide primary administrative support for 2 executives, one based in the NY HQ, and one remote. Provide backup support for other executive administrative assistants as needed.
  • Maintain appointment schedule by planning and scheduling meetings, agendas, conferences, teleconferences, and travel.
  • Help to keep schedules on time throughout the day with active onsite support.
  • Welcome guests and customers by greeting them, in person or on the telephone.


You will need the following skills and experience:

  • At least 2 years of experience working as an executive assistant
  • Proficient in Microsoft Outlook, Word, Excel and PowerPoint
  • Exceptional communication, project management, and organizational skills
  • Detail-oriented
  • Efficient in business software and business systems processes and approvals
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Thrives in a fast-paced environment and has excellent problem-solving skills
  • Strong communication skills
  • This position is located in NYHQ, and offers the opportunity for a hybrid work environment (at least 4 days a week in office), providing flexibility and accessibility for qualified candidates.

The base pay range for this role is $47,500 - $79,200. In addition to base salary, Nasdaq provides a generous annual bonus/commission (short-term incentive), and equity (long-term incentive), comprehensive benefits, and opportunity for growth. Exact compensation may vary based on several job-related factors that are unique to each candidate, including but not limited to: skill set, experience, education/training, business needs and market demands.
