EveryMatrix seeks a highly organized Front Desk Agent for its Bucharest office. Responsibilities include welcoming visitors, managing phone calls, maintaining the reception area, handling mail and packages, scheduling appointments, providing administrative support (data entry, filing), controlling building access, responding to inquiries, and acting as an emergency contact. The ideal candidate possesses excellent communication and customer service skills, is highly organized, and proficient in Microsoft Office. The role requires managing multiple tasks efficiently, adapting to changing priorities, and maintaining a professional demeanor.

About the job:

We are looking for a highly organized Front Desk Agent to join our team in the heart of Bucharest to manage the reception area of our new office building.


What You'll get to do:

  • Welcome and greet visitors and clients professionally; 
  • Answer and direct incoming phone calls, take messages, and provide information; 
  • Maintain a clean and organized front desk area; 
  • Ensure office supplies at the reception area are stocked; 
  • Receive and distribute mail and packages promptly; 
  • Schedule and confirm appointments, manage meeting room bookings if case; 
  • Provide administrative support, including data entry and filing; 
  • Monitor and control access to the building, issue badges; 
  • Respond to general email inquiries and forward messages; 
  • Be familiar with emergency procedures, act as a point of contact during emergencies; 
  • Offer basic information about the company and direct individuals to the appropriate department.

What You need to shine:

  • Availability to work on regular business days, from 08:00AM to 16:00 PM; 
  • Excellent verbal and written communication skills; 
  • Strong customer service orientation with a friendly demeanor; 
  • Proficient in answering and directing phone calls professionally; 
  • Organizational and multitasking abilities; 
  • Attention to detail in maintaining a neat front desk area; 
  • Ability to adapt to changing priorities and handle unexpected situations calmly; 
  • Computer proficiency in Microsoft Office and email systems; 
  • Problem-solving skills to address basic issues and redirect inquiries; 
  • Maintains a polished and professional appearance; 
  • Collaborative attitude and ability to work well within a team; 
  • Efficient time management skills for handling multiple tasks; 
  • High school diploma; 
  • Prior industry experience preferred.

Here's what we offer:

  • Start with 22 days of annual leave, with 2 additional days added each year, up to 32 days by your fifth year with us.
  • Stay Healthy: 10 sick leave days per year, no doctor's note required.
  • Hybrid work schedule: 60% work from the office and 40% work from home per quarter (during your first 3 months, you'll be in the office full-time).
  • Support for New Parents:

- 21 weeks of paid maternity leave, with the flexibility to work from home full-time until your child turns 1 year old.

- 4 weeks of paternity leave, plus the flexibility to work from home full-time until your child is 13 weeks old.
