Job Description

World Relief is seeking an Admin and Enrollment Coordinator to join their team. This role involves coordinating outreach initiatives for immigrant communities, assessing client eligibility for employment programs, and managing enrollment processes. Responsibilities include daily monitoring of program interest forms, conducting client assessments, updating systems with enrollment information, and ensuring case file compliance. The coordinator will also be responsible for data entry into Microsoft Dynamics and internal trackers, maintaining accurate records, and generating weekly/monthly reports. Additionally, the role requires providing administrative support for program improvement projects and participating in staff meetings. The ideal candidate should have strong administrative skills, be organized, detail-oriented, and proficient in Microsoft Office applications.

ORGANIZATION SUMMARY
World Relief is a global Christian humanitarian organization whose mission is to boldly engage the world’s greatest crises in partnership with the church. The organization was founded in the aftermath of World War II to respond to the urgent humanitarian needs of war-torn Europe. Since then, for 80 years, across 100 countries, World Relief has partnered with local churches and communities to build a world where families thrive and communities flourish.

Today, organizational programming focuses on humanitarian and disaster response, community strengthening and resilience, and refugee & immigrant services and advocacy.


This position is reliant upon funding and may be subject to modification or termination based on resource availability.


POSITION SUMMARY:
The candidate must have strong experience with Program Outreach, Orientations, Intake and Assessment, Enrollment, Record Management and reporting and strong administrative.


ROLE & RESPONSIBILITIES:
  • Program Outreach and Orientation:   
  • Coordinate outreach initiatives aimed at providing immigrant communities in the Greater Sacramento area with information regarding employment support opportunities, including World Relief’s Career Advancement Course and employment programs
  • Ensure that potential clients are provided with an orientation to employment programs.   

  • Intake and Assessment:   
  • Monitor the program interest form on a daily basis and contact the clients within 48 hours
  • Assess the potential client's program eligibility and provide feedback 
  • Ensure the potential clients understand the program requirements before enrollment 
  • Refer the potential client to different programs for additional support.   

  • Enrollment:   
  • Follow the program's enrollment process and enroll the clients in the program, including, but not limited to:  Completing client assessments and intakes for employment programs 
  • Update and maintain WRS systems with client enrollment information (Dynamics, Teams, case notes, case files)
  • Assist with case and file compliance for state and federal monitoring  
  • Complete the enrollment process, including completing and signing the enrollment paperwork according to the program requirements   
  • Brief the Employment Specialists about the client's needs and background, including the client's education and work experience, English proficiency, and other needs.   

  • Record Management and Reporting:   
  • Enter client’s data into Microsoft Dynamics and the internal department tracker in a timely manner  
  • Satisfying documentation and reporting requirements in accordance with grant standards   
  • Ensure the Internal Department clients tracker and Microsoft Dynamics are up to date.   
  • Maintain accurate case files and client notes for program participants   
  • Perform weekly/monthly reports to the management team and donor.   

  • Administrative Support: 
  • Work on projects to improve the program admin and enrollment process   
  • Work on projects to improve program client resources
  • Participate in staff meetings and other staff development opportunities;   Other duties as assigned. 


JOB REQUIREMENTS:
  • Mature and personal Christian faith
  • Committed to the mission, vision, and values of World Relief
  • Desire to serve and empower the Church to impact vulnerable communities
  • Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Evangelicals For the Health of The Nation document
  • Organized and systems-oriented with great attention to detail
  •  Ability to utilize communication over internet tools such as Zoom and other programs
  • Ability to work effectively and sensitively with people of diverse cultural and religious backgrounds
  • Ability to speak clearly and comfortably on the phone with partners and participants, which include people with limited English abilities and the use of interpreters. 
  • Strong knowledge of Microsoft Office applications (Word, Excel, PowerPoint, cloud storage, etc.)   
  • Fluency in written and spoken English   
  • Valid driver's license, access to a reliable vehicle, and a clean driving record. 


PREFERRED QUALIFICATIONS:
  • Previous experience with interpreters is a plus   
  • Proficiency in a second language: Dari, Pashto, Russian, Ukrainian preferred.
