The Executive Assistant will provide support to senior leadership at 160over90, a cultural marketing agency. The candidate will be responsible for managing schedules, coordinating meetings, and handling a high-volume workload. They will also provide phone support, manage expense reports, assist with conference room reservations, and handle travel logistics. Additional responsibilities include researching industry-related items, supporting various initiatives with Corporate Communications, and handling ad-hoc projects as needed. The role requires discretion, independent judgment, and the ability to work with executives.
Must have:
  • High proficiency with MS Office (Word, Excel, PowerPoint, and Outlook)
  • Ability to work with all levels of management
  • Exceptional grammar and proofreading skills required
  • Ability to handle multiple assignments and deadlines with accuracy
  • Detail-oriented and proactive

  • Strong written and oral communication skills
  • Professional demeanor

The Role and What You’ll Do: 

Endeavor is seeking an Assistant who will be responsible for providing support to senior leadership at 160over90, Endeavor’s full service cultural marketing agency. The ideal candidate will exercise discretion and independent judgment, as well as the ability to interface and work with executive and senior level business leaders and their teams. The candidate will have the ability to effectively manage scheduling of calls, meetings and a high-volume workload. 

This role is located in our Philadelphia office. We have a return to office policy of 4 days a week in the office.

 

  • Handle all scheduling related matters 

  • Provide phone support; organize calls, listen and proactively set follow up 

  • Complete expense reports using Concur 

  • Assist with conference room reservations, audio/visual equipment set up, catering for meetings and visitor registration 

  • Print and organize documents 

  • Research industry-related items for presentations and proposals 

  • Work closely with Corporate Communications to support various initiatives 

  • Generally, stay aware of executive’s day 

  • Manage travel logistics, draft travel booklet itineraries/agendas 

  • Additional ad-hoc projects as assigned
