Job Summary:
The Program Coordinator will play an integral role in the program management team with Workspend Managed Services Program and will be responsible for delivering superior customer satisfaction by supporting the day-to-day operations and ensuring customers’ expectations are met.
Responsibilities:
- Assist Hiring managers, Program Specialists and suppliers during all stages of the contract labor acquisition process including but not limited to: interview scheduling, onboarding, worker assignment management, time and expense management and off boarding
- Responsible for operational and backend transactional items such as updates to hiring manager, updates to recruitment suppliers, running reports, scheduling interviews, and system changes within the vendor management system
- Maintain the VMS with strong attention to details of the contingent workforce's staffing, hiring, and onboarding process. This will include updating the system with rate changes, processing contract extensions, processing releases/terminations, and updating other data as necessary.
- Ensure timely response to email requests from Hiring Managers and suppliers.
- Provide program status reports as required
- Ensure all work orders are closed in the system with accurate finish reasons when notified of an end of assignment and appropriate departments are notified (i.e., security)
- Timely completion of weekly tasks and reporting assigned by your manager
- Document all client/supplier reported issues and track resolution through to completion ensuring a high level of customer satisfaction
- Constant interaction via email and phone with clients and suppliers
- Provide general program and system user and supplier support
- Ensure compliance with client procurement policies, guidelines and operational processes
- Collaboratively work with Supplier partners to ensure accurate feedback, projections, and important information are being delivered on schedule to customers and to all the responsible parties.
- Manage the regular notifications for the timely submission of timecards and expenses.
- Conduct new hire orientation with all prospective candidates per customer guidelines.
- Monitor and address issues and concerns with the contingent workforce quickly and effectively; escalate issues to management as needed.
Mandatory skills:
- 1-2 or more years of experience in staffing or MSP
- Experience working with VMS.
- Excellent documentation and follow-up skills
- Strong time management and is self-motivated
- Strong problem-solving and analytical skills
- Good communication and interpersonal skills
- Ability to work in a fast-paced, dynamic environment.
- Experience in high volume coordination activities (interviewing, on-boarding, etc.)
- Experience with MS Office (Excel, Word, PPT) and PC skills
- Should be a quick learner and motivation to continue to grow in your career.

- Ability to work in a shared mail box and delegate responses to the appropriate team member

Education/Certifications:
- Bachelor’s degree with at least 1-2 years of relevant experience
