GoFundMe seeks a Workplace Coordinator (Contract) for its San Diego office. Responsibilities include greeting visitors, providing administrative support (filing, scanning, managing supplies), handling mail and packages, maintaining reception area cleanliness, providing general customer service, supporting office events (setup, teardown), and assisting with security (access control, badge issuance, emergency response). The role requires strong communication, organizational skills, and a positive attitude. The position is part-time (25-28 hours/week, Tuesday-Thursday), with occasional evening hours for events. Some physical tasks are involved.

The ideal candidate will be the first point of contact for visitors and clients, ensuring that they receive a warm welcome and that administrative functions run smoothly. This role involves managing the reception area, handling inquiries, supporting events, and providing general administrative support to the team.

The Job…

  • Greeting Employees & Visitors:
    • Welcome and direct visitors in a professional and friendly manner.
    • Notify employees of visitors' arrival and ensure they are signed in and have badge access.
  • Administrative Support:
    • Perform general clerical duties, including filing, scanning, and copying when needed.
    • Take care of restocking parking validations and handing out.
    • Maintain office supplies and reorder as necessary.
  • Mail and Package Handling:
    • Pick up, receive, sort, and scan & distribute incoming mail and packages.
    • Prepare outgoing mail and packages for dispatch.
  • Maintain Cleanliness of Reception Area:
    • Keep the front desk and lobby area clean, organized, and welcoming for visitors.
  • General Customer Service:
    • Provide information to employees and visitors about the organization, parking, or general inquiries.
    • Address any concerns or issues that may arise, escalating them to the appropriate staff if needed.

Event Support

  • Support the Workplace Team during larger office events with set-up, vendor meet&greet, and tear down.

Security Support

  • Support physical and visual inspections of suite & surrounding areas, including responding to medical emergencies, bomb threats, fire alarms, and etc, according to emergency procedures. 
  • Coordinates security-related onboarding activities for new hires, such as maintaining Brivo access control system and issuing ID badges for various access control systems. Assists in the production and distribution of employee badges, ensuring timely and accurate delivery.

Working Conditions and Schedule

  • Part-Time 25-28 hours/week, Tues-Thurs 8:30 am-4:30 pm, occasional later hours depending on events.
  • Fun and vibrant office environment with occasional extended hours for early evening events.
  • Some physical tasks may be required, such as lifting mail/packages, rearranging furniture, decorating, carrying items from one floor to another, and walking to the post office.

  • High school diploma or equivalent; associate’s degree or relevant certification preferred.
  • Previous experience in a front desk or customer service role is highly preferred.
  • Strong verbal and written communication skills.
  • Proficient in Google Suite
  • Ability to multitask and prioritize tasks effectively.
  • Excellent organizational skills and attention to detail.
  • Professional appearance and demeanor.
  • Ability to maintain confidentiality and handle sensitive information.
  • Positive attitude and a strong hospitality mindset.

The hourly pay rate for this 12-month contract position is: $35.00 - $40.00 per hour. Due to this being a contract position, this individual will not receive benefits or equity. The salary range was determined by role, level, and possible location across the US. Individual pay is determined by work location and additional factors including job-related skills, experience, and relevant education or training.
