As a Workplace Experience Coordinator at LeoVegas Group, you will be a vital part of the Workplace Experience Team, ensuring an exceptional daily experience for employees, visitors, and guests at our Malta Office. You will be the first point of contact, responsible for creating a welcoming environment. Key responsibilities include managing reception duties, coordinating meeting spaces, handling deliveries and calls, managing office supplies and expenses, and supporting office operations and events. You will also maintain front desk procedures and security protocols, and assist with administrative tasks. This role offers the opportunity to contribute to office-wide initiatives and process improvements in a fast-paced, dynamic setting.

ABOUT THE ROLE     
      
As our Workplace Experience Coordinator, you will be an essential part of a dynamic and dedicated Workplace Experience Team committed to delivering an exceptional day-to-day experience for all employees, visitors, and guests. Acting as the first point of contact at our Malta Office, you’ll play a vital role in creating a welcoming and professional environment that reflects our company culture and values.
In this role, you will handle a variety of responsibilities that have a direct impact on the overall workplace experience - from managing reception duties and coordinating meeting spaces, to supporting internal events and collaborating with departments such as HR, the Global Workplace Experience Team, Employer Branding and IT. You’ll have the chance to contribute to exciting office-wide initiatives and process improvements, ensuring smooth operations and enhancing employee satisfaction. YOU WILL BE RESPONSIBLE FOR:        
  • Serving as the first point of contact for employees, visitors, and vendors with a warm and professional approach
  • Managing incoming calls, emails, and deliveries efficiently and with attention to detail
  • Coordinating meeting room bookings and ensuring spaces are well-prepared and presentable
  • Manage orders such as groceries, office supplies and ensure that they are always stocked.
  • Help with managing the office expenses and costs in certain areas.
  • Supporting office operations and workplace events
  • Maintaining front desk procedures and security protocols for access and visitor management
  • Assisting with general administrative tasks and projects as needed.
OUR SUCCESSFUL CANDIDATE WILL HAVE:
Essential skills:
 
  
  • Previous experience in a front desk, office coordination, or administrative support role
  • Strong interpersonal and communication skills with a service-oriented mindset
  • Ability to multitask and stay organized in a fast-paced environment
  • Proficiency with Microsoft Office / Google sheets & Docs.
  • High level of professionalism and attention to detail.
Nice to have skills:   
  • Experience working in a tech or fast-growing international company is an advantage but not a must.
  • Knowledge of basic workplace health and safety protocols.
  • Organising Internal Events.
