Key Responsibilities

    • Lead the timely submission of proposals by coordinating the entire bidding process and maintaining organized documentation
    • Propose and implement more efficient bidding processes to streamline operations and improve outcomes
    • Take the lead in developing and implementing a seamless prelim bidding process, leveraging your experience to ensure smoother transitions and faster proposal submissions
    • Clearly articulate project scopes and break down tasks into specific disciplines required for completion.
    • Provide highly accurate bid numbers and financial estimates
    • Lead the collaboration with producers, production managers, and creatives to develop and implement cohesive bidding strategies
    • Gather and clarify necessary information from creative teams for accurate bid submissions
    • Schedule and facilitate bid-related meetings and discussions to keep all stakeholders informed
    • Serve as the primary contact for all bid-related inquiries, ensuring clear and effective communication
    • Track the availability and capacity of VFX partners to ensure optimal project staffing
    • Assist in identifying and onboarding external resources as needed
    • Maintain and update databases related to bids and resources, and generate detailed reports on bid outcomes and resource utilization

Qualifications

    • Minimum of 5-7 years of experience within a VFX studio or production house
    • Experience in vendor management is a plus
    • Strong knowledge of MS Office (including Word and Excel) and ShotGrid
    • Excellent project management and communication skills, with a proven ability to manage multiple projects simultaneously
    • Strong understanding of resource management principles
    • Familiarity with bidding processes and current industry trends
