We are seeking a new member to join our Support Function team as a Management Assistant. As a Management Assistant, you will play a critical role in enabling a smooth, efficient daily routine for our Founding Team (CEO, CSO). You will handle a mix of operational and strategic tasks, ensuring our leadership is well-prepared and supported in both business and personal matters.
Job Responsibilities
- Ensure a smooth daily routine for our founding team by handling a variety of operational tasks, including vendor communications, reservations, and coordination of both internal and external meetings/ appointments
- Manage the calendars of our Founding team, organize meetings/ appointments and travel arrangements, assure our founding team is well prepared for meetings and have all necessary information in advance
- Coordinate and supervise vendors and service providers on behalf of the founding team to achieve efficiency and high quality services
- Plan and organize business trips, including booking travel arrangements and managing travel expense reports
- Oversee administration by accurately entering digital receipts and efficiently manage incoming invoices in a digital format
- Support different business functions (particularly Legal, HR, Finance) with ad hoc tasks (filing, invoice management etc.)
- Assist the founding team by preparing meeting agendas/ presentations and other relevant documents for business meetings and strategic planning sessions
The experience we hope you bring to JustPlay
- You have at least 3+ years in a similar role and a proven record of offering invaluable support to executive leaders within an international setting, ideally in a startup environment
- You work independently and show a high level of initiative
- You are service oriented, proactive, detail-oriented, and highly organized, with the ability to balance multiple priorities in a dynamic environment
- You have a strong customer-oriented mindset, paired with the ability to manage confidential information discreetly
- You have excellent communication skills, with strong written and spoken proficiency in both German and English, allowing you to engage confidently with local vendors and international partners
- Ideally you have a driver’s license and the flexibility of coordinating services locally for our Founding team
