As our Office Manager (part-time), you will be responsible for ensuring the smooth operation of our office by managing supplies, supporting reception, coordinating events, handling travel arrangements and supporting employee engagement initiatives.
Working closely with the Facility Manager, you will play a critical part in creating an efficient and welcoming workplace environment that enhances Abstractioners satisfaction and supports the studio’s goals.
We are looking for two part-time Office Managers - hours can be discussed.

Your Responsibilities:
Office supplies management: ensure office and pantry supplies are consistently stocked, manage employee supplies and onboarding kits. And work closely with our facility manager.
Office operations: Maintain office decorations and updates, oversee and manage keys, fobs, and security access, and decorate for celebrations and events. Additionally, assist with furniture deliveries and office setups, keep the office clean and organized, manage archives, coordinate shipments, administer the Donut app, and assist with employee relocations
Events: plan and execute studio scale and team events, as well as organize logistics to support on-site weeks and lunches. Collaborate with HR on initiatives and programs such as onboarding, engagement activities, and support training sessions, and celebrate employee and team milestones. Coordinate and support the monthly on-site weeks.
Reception and travel support: manage the office phone and mailbox, welcome visitors. Assist with bookings and arrangements, and handle travel tool administration and logistics.
Process Documentation: update processes’ descriptions and create documentation of new processes and procedures. Collaborate with team members to ensure clarity and consistency in all HR-related workflows.
Administration: Agenda management, email processing, booking meeting rooms. Coordinating appointments and meetings and supporting the management team and other departments.
Support and/or lead internal projects. Support employee initiatives such as enhancing the presence in the office and other internal projects.
What You Will Bring Along:
HBO or Bachelor Degree in Business Administration, HR Management, Psychology or other related field
Proactive approach to problem-solving and a positive attitude are essential
Proven experience in office administration and event coordination
Experience in travel arrangements
Strong communication and interpersonal skills, including the ability to work efficiently with different stakeholders
Attention to details and strong organizational skills
Hands-on approach, curiosity and willingness to learn.
Fluent in both spoken and written English
