This role is an Administrative Assistant position supporting three Directors in Commerce Engineering at Netflix's Los Gatos, CA office. Responsibilities include managing complex calendars, scheduling meetings (domestic and international travel included), coordinating team events, processing expense reports and other administrative documents, and assisting with presentations. The ideal candidate is self-motivated, detail-oriented, and able to handle multiple priorities in a fast-paced environment. The role requires strong organizational and communication skills, proficiency in Google Workspace, and experience with event planning and logistics. The successful candidate will act as a cultural ambassador for the team, ensuring a smooth onboarding process for new hires.

Netflix is seeking an Administrative Assistant to support executives in Commerce Engineering. This role will be responsible for handling a heavy volume of complex calendars, including proactive meeting design and organization, as well as keeping track of a spectrum of priorities. They will be a direct partner to the executives they support, pushing them to be the best leaders possible.

The Team: 

This role supports the Commerce Engineering leadership team. Commerce Engineering is responsible for the systems that enable Netflix members to join, access, manage, and pay for their membership. This includes ensuring that all of these systems are flexible, secure, robust, and scalable.Commerce Engineering has approximately 250 full-time employees, led by several Directors and two dozen managers. It extensively collaborates cross-functionally in the Commerce domain and with a variety of other engineering organizations at Netflix.

The Role: 

We are seeking an experienced Administrative Assistant to support Commerce Engineering executives at Netflix in Los Gatos, CA. The ideal candidate would be based in the office. 

The successful candidate is self-motivated, quick-thinking, solution-oriented, and able to calmly juggle diverse responsibilities with grace, enthusiasm, and humor. They must emphasize organization and unwavering attention to detail at all times. They should also be interested in and enjoy planning team activities and events. This is a demanding and fast-paced position that requires someone who can exercise good judgment and significant initiative.

Key Responsibilities:

As an Administrative Assistant, you will provide high-level support to three Directors, ensuring seamless coordination across multiple tasks and responsibilities.

Specific duties include, but are not limited to:

  • Executive Support:

    • Maintain and manage the calendars of three Directors, ensuring alignment with their direct reports and handling complex scheduling needs.

    • Schedule internal and external meetings across various time zones, optimizing time management and ensuring all logistical details are arranged effectively.

    • Coordinate and organize meetings, video calls, and team events with a high degree of precision and foresight.
       

  • Travel Coordination:

    • Plan and arrange both domestic and international travel, ensuring all aspects are carefully organized, including transportation, lodging, and itineraries.

    • Coordinate logistics for team and cross-functional offsites, working with hotels and vendors for lodging, catering, flights, A/V requirements, transportation, and team-building activities.
       

  • Administrative Logistics:

    • Process expense reports, vendor paperwork, event contracts, and other administrative documents with accuracy and attention to detail.

    • Assist in preparing presentations, organizational charts, reports, and other materials required for meetings and presentations.
       

  • Special Projects & Ad Hoc Support:

    • Handle special projects and ad hoc requests, such as assisting in the creation of presentations, managing spreadsheets, or helping with other administrative tasks as needed.
       

  • Team & Cross-Functional Collaboration:

    • Stay aligned with team priorities and proactively offer support to ensure deadlines are met.

    • Display the ability to pivot to new incoming priorities with confidence, agility, and a calm demeanor.

    • Communicate effectively and collaborate within the Admin Community to foster a seamless workflow.
       

  • Confidentiality & Cultural Ambassadorship:

    • Exercise sound judgment when handling sensitive and confidential information.

    • Act as a cultural ambassador for the team, helping to cultivate an inclusive and connected environment.
       

  • Onboarding & Integration:

    • Assist with the onboarding process for new hires, ensuring a smooth integration into the team and the broader organization.
       

Qualifications:
 

    • A minimum of 5 years of experience as an Executive or Administrative Assistant, with a proven track record of supporting senior-level executives.

    • Demonstrated experience in organizing and coordinating events, including team-building activities and large-scale offsite meetings.
       

  • Skills & Proficiency:
     

    • Strong written and verbal communication skills, with the ability to effectively manage multiple tasks and communicate across various levels of the organization.

    • Proficiency in Google Workspace (Gmail, Google Calendar, Google Docs, Google Groups) and other common administrative tools.

    • Exceptional organizational skills with a keen attention to detail.
       

  • Personal Attributes:

    • High degree of discretion, with the ability to handle confidential and sensitive information responsibly.

    • Strong prioritization skills, with the ability to manage time effectively and respond swiftly to shifting priorities.

    • A team player who thrives in a fast-paced, collaborative, and dynamic environment.

Our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top-of-market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $60,000- $240,000.
