Job Description

The Coordinator, Product System Support (Stakeholder and Custom Groups) supports On Location's Olympic & Paralympic Games inventory management systems and 3rd party tools. This role acts as the first line of defense for system issues and requests, collaborating with stakeholder and custom group teams. Responsibilities include maintaining system knowledge, liaising with internal teams, managing bookings, resolving system issues, creating efficient processes, supporting system enhancements, and identifying/removing roadblocks. The ideal candidate possesses strong analytical and problem-solving skills, excellent communication, and experience with inventory management and point-of-sale systems.
Must have:
  • Bachelor's degree or equivalent experience
  • Experience with POS, inventory management, data analytics
  • Exceptional communication & collaboration skills
  • Strong problem-solving and analytical skills
  • Experience with various software platforms
Good to have:
  • Project management or business operations experience
  • Experience with Salesforce, Jira, Airtable etc.
  • Ability to work extended hours, weekends and holidays

The Coordinator, Product System Support (Stakeholder and Custom Groups) is primarily responsible for supporting the On Location Olympic and Paralympic proprietary inventory management systems and 3rd party tools and acting as the first line of defense regarding any systems issues and requests. The Coordinator works closely with Stakeholder and Custom Group teams and other internal functional areas at the guidance of their manager to create a positive and efficient environment focused on developing and maintaining processes, products and sales in our systems and operations. The Coordinator will be focused on the needs related to product sales, inventory management, custom commerce solutions, event operations, guest services, and more.

  • Maintain continuous knowledge of internal workflow processes and technologies, specifically proprietary inventory management system(s).

  • Liaise and collaborate with stakeholder/custom group teams and other internal functional areas to build and maintain inventory, products, and bookings in systems.

  • Extensive use of inventory management and point-of-sales system(s) to build and manage product offerings, inventory, and extract data for operations.

  • Process and manage stakeholder/custom group bookings in system(s) including but not limited to building products, booking sales, process changes, and more.

  • Act as the first line of defense and provide resolution of issues raised by the stakeholder/custom groups and other teams related to processes, inefficiencies, technologies, and systems.

  • Apply critical thinking skills to analyze and independently resolve internal and external issues regarding proprietary inventory management system(s).   

  • Assist in creating and maintaining new processes that identify opportunities to streamline procedures that directly impact productivity.

  • Support in testing system enhancements; clearly communicate and identify further developments needed that further support the stakeholder/custom group teams and others.   

  • Identify, understand, and remove systematic roadblocks for teams.

  • Execute all other duties assigned by the team or leadership.

You Have These

  • Bachelor’s degree in project management, Technology, Business Operations or a related field, or equivalent experience preferred. 

  • Experience with multiple technologies and proprietary system development related to point-of-sale solutions, inventory management, and data analytics.

  • Exceptional interpersonal skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.

  • Excellent time-management, organizational skills.

  • Excellent situational analysis and decision-making skills.  

  • Experience in project management and/or business operations 

  • Experience working with multiple technology and software platforms, including but not limited to Salesforce, Jira, Airtable, Confluence, Asana, Smartsheet, and other digital collaboration systems. 

Travel: Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. International travel may be required. Expected travel <5%.
